Overview

The Events Manager ensures the seamless execution of events, maintaining high service levels, clear communication with clients, and efficient coordination across departments. This role involves liaising with the kitchen, clients, and other teams to ensure smooth logistics, proper staffing, and top-quality venue presentation, resulting in exceptional guest satisfaction. The role also covers profit management, stock control, hygiene practices, training, and any additional tasks as required by management.

Duties and Responsibilities

Staff Management & Quality Control

  • Lead by example, promoting sound business decisions, integrity, and professionalism.
  • Coordinate functions to maintain high client satisfaction.
  • Prepare and implement daily function lists, and communicate setups to supervisors.
  • Ensure cleaning staff maintain a clean and tidy environment.
  • Provide leadership and manage employee counseling and disciplinary actions per company standards.

Stock Control

  • Assess beverage stock levels for upcoming events and assist with bar stock checks.
  • Conduct cellar stock checks and input month-end data into Jonas.

Client Liaison

  • Meet with clients to discuss venue options and provide detailed quotes.
  • Ensure clients submit required information and payments on time.
  • Follow up on provisional bookings and manage client queries.

Office Administration

  • Submit quotes on time and maintain up-to-date booking diaries.
  • Place stock orders for the function and bar teams as needed.
  • Provide support for key staff during leave and manage event administration.

Venue Set-up and Preparation

  • Oversee venue setup according to client specifications and perform daily inspections.

Event Planning and Logistics

  • Plan and implement event concepts and budgets, negotiate with vendors, and handle logistics.
  • Manage event branding, promotions, and communications in collaboration with sales and marketing.
  • Ensure all legal, safety, and insurance obligations are met.
  • Oversee post-event evaluations and build a customer database.

Additional Responsibilities

  • Research new suppliers for competitive pricing.
  • Handle negotiations for sponsorships and contracts.
  • Ensure smooth event execution, troubleshooting on-site as necessary.
  • Manage event logistics, including parking, security, and media requirements.
  • Coordinate staff, conduct post-event evaluations, and promote future business opportunities.
Required Skills

3-5 years of relevant experience in event planning, management, or coordination, with a demonstrated ability to manage both small and large-scale events. Proven experience in staff management and client relations is essential.
