Job Description:
  1. Coordinate and manage the planning and execution of various events, including year-end functions, weddings (80% of events), conferences, and other special events.
  2. Communicate with clients to understand their event needs, preferences, and timelines.
  3. Oversee the coordination of food, bar, and venue services, ensuring seamless execution on the event day.
  4. Provide event planning guidance to clients, helping with logistics and event flow while maintaining the venue’s standards.
  5. Serve as the main point of contact for clients, vendors, and internal staff before, during, and after events.
  6. Coordinate with external vendors for items such as décor, AV equipment, entertainment, and other non-venue services.
  7. Manage event schedules, ensuring all aspects are on track and within the agreed-upon timeline.
  8. Assist clients with event layouts, room setups, and any special requirements, ensuring everything is prepared to their satisfaction.
  9. Ensure compliance with health, safety, and insurance regulations for all events.
  10. Resolve any issues or emergencies that arise during events to ensure smooth operations.
  11. Ensure accurate post-event billing and feedback collection for continuous improvement.
Qualifications:
  1. Bachelor’s degree in Event Management, Hospitality, or related field (preferred).
  2. Minimum of 2-3 years of experience in event coordination or hospitality management, with a focus on weddings and corporate events.
  3. Strong organizational and multitasking skills with attention to detail.
  4. Excellent communication and customer service skills, with the ability to manage client relationships.
  5. Ability to work under pressure and handle last-minute changes or requests.
  6. Proficient in event planning software and Microsoft Office Suite.
  7. Experience working with vendors and managing contracts.
  8. Knowledge of event industry trends and best practices.
  9. Flexibility to work weekends, evenings, and holidays as needed for events.
