Job description

SUMMARY :

We are seeking a highly organized and enthusiastic Events Assistant to support the planning, coordination, and execution of events from start to finish. The ideal candidate is detail-oriented, proactive, and thrives in fast-paced environments. Working closely with the events team, vendors, and clients, the Events Assistant will help ensure each event runs smoothly and delivers an exceptional experience for all participants.

Responsibilities include event management, coordination, activations, liaising with internal and external stakeholders, and representing the brand.

  • Basic writing skills for client documents
  • General office administration, including answering phones and filing
  • Sourcing and shopping for projects
  • Creating basic quotes, mood boards, and learning our online system
  • Updating the website and stock catalogues
  • Sourcing and visiting venues
  • Pitching ideas and finding creative angles
  • Developing positive relationships with clients and team members
  • Managing time effectively and understanding deadlines
  • Effective time scheduling
  • Supporting XL Events and aligning with company values
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Proactive interaction and secondary point of contact for clients
  • Assisting with design work

Event and Activation Opportunities

  • Stay informed about relevant brand events and activation opportunities
  • Connect with industry players to identify opportunities
  • Coordinate events and activations via micro-influencers

Stakeholder Liaison

  • Coordinate with internal and external stakeholders to ensure event requirements are agreed upon and feasible
  • Identify and manage resources and suppliers
  • Communicate and confirm plans leading up to the event

Requirements :

  • High school diploma or equivalent; a degree or certification in Event Management, Hospitality, Marketing, or related field is a plus
  • Experience in event planning, administration, or customer service preferred
  • Valid driver’s license may be required
  • Familiarity with social media or marketing tools is desirable
