The Event Coordinator is responsible for the seamless execution of all group and special events, ensuring every detail aligns with the client's vision.

This role involves managing event setup and teardown, overseeing vendor contracts, and serving as the primary point of contact for clients and vendors throughout the event lifecycle.

Responsibilities

Oversee and coordinate all aspects of event setup, ensuring venues are arranged according to client specifications and event requirements.

Respond to and manage leads from third-party vendors or park staff.

Manage event teardown, ensuring all vendor equipment is collected, the venue is cleaned, and all property is accounted for after the event.

Serve as the main point of contact for clients and vendors before and during events, handling all communications and troubleshooting issues.

Review and manage vendor contracts, ensuring all agreements are fulfilled and payments are processed as scheduled.

Develop detailed event timelines and checklists, ensuring all tasks are completed on schedule and all stakeholders are informed of their responsibilities.

Coordinate vendor arrivals, deliveries, and setup, ensuring all services are executed according to contract specifications.

Supervise event staff and delegate tasks to ensure efficient event operations.

Ensure all events comply with venue policies, safety regulations, and client expectations.

Assist with property-specific tasks during periods of low demand, including guest relations duties and other tasks assigned by the General Manager.

Qualifications

Proven experience in event or wedding coordination, hospitality, or a related field.

Exceptional organizational and time management skills, with the ability to manage multiple events simultaneously.

Strong communication and interpersonal skills for effective collaboration with clients, vendors, and staff.

Ability to interpret and execute contracts, manage budgets, and coordinate with vendors.

Flexibility to work evenings, weekends, holidays, and extended hours as event schedules require.

Problem-solving skills and the ability to remain calm under pressure.

Attention to detail and a commitment to delivering exceptional customer service.

Education and Experience

Bachelor's degree in hospitality, event management, or a related field is preferred but not required.

Experience with event management software and tools.

Physical Demands

Continuously reach, bend, lift, carry, and stoop.

Able to lift up to 50 lbs.

Able to manipulate fingers, hands, and arms to reach, carry, serve, etc.

Must be able to stand outside in any weather conditions for extended periods.

Physical tasks related to event setup and teardown.

Long hours, including nights, weekends, and holidays depending on event schedules.
