Duties and responsibilities :
- Manage and administer the Electronic Resources Management (ERM) subdivision of the collection development and management.
- Monitor and intervene when necessary on the spending of the allocated Electronic Resources and Management budget.
- Coordinate, manage and monitor SANLIC and non-SANLIC deals pertaining to all the subscriptions that UFS LIS subscribes to.
- Initiate and coordinate ERM initiated and related roll out projects of strategic relevance to the CDM Division.
- Initiate meetings with suppliers to share ideas on ERM related issues including service delivery discounts and complaints.
- Oversee the development and implementation of internal and external strategic ERM Projects.
- Create awareness and train stakeholders on the available information resources to improve usage.
- Conduct shelf readings of allocated shelves daily.
- Measure usage of statistics output (electronic and print Journals and databases).
- Bridge the communication gap between ERM service providers and the UFS (LibGuides liaison role attend SANLIC conference actively use different social media platforms).
- Conduct quality assurance and assessment on delivered ERM services.
- Oversee ERM office maintenance and administration.
- Draw and share ERM professional development regularly.
- Ensure strategic alignment of ERM programmes with the UFS LIS strategic plan.
- Initiate and contribute towards collection development policy and standard operating procedures amendment processes.
- Develop guiding reports on the ERM operations and processes that feed to the entire Collection Development and Management operations.
- Report regularly on the ERM activities and align them to the official and signed performance plan.
- Perform regular quality control checks to ensure the accuracy of order data.
- Receive order reports from the booksellers and update orders with the relevant order status information.
- Monitor, review and evaluate Collection Development Policy parts that pertain to the ERM operations.
- Provide guidance on the ERM policy development related function within the CDM.
- Develop effective strategic relations and stakeholder management internally and externally.
- Liaise with suppliers, UFS Finance, procurement and Library Managers across all campuses.
- Increase the visibility of the ERM in academic Faculties and various academic programmes across all campuses (Develop Faculty-ERM collaborations).
- Implement new system developments and changes in consultation with the acquisitions manager.
- Conduct general and focused roadshows to internal stakeholders.
- Conduct customer satisfaction and information needs surveys to determine users perception of the LIS ERM services.
- Market UFS LIS ERM related services in support teaching, learning and research.
- Utilize ERM tools to create digital displays and exhibits that encourage access and usage of electronic and print information resources in support of teaching, learning and research.
- Participate in UFS LIS themed collections and showcasing important digital resources with emphasis on ERM.
- Control and allocate an annual book ERM budget.
- Inspect the LMS / University Financial Management system (PeopleSoft) integration regularly.
- Generate Library Management System (LMS) ordering report to check the accuracy of ER orders placed.
- Provide the annual ERM Fiscal close report working in collaboration with the Library Systems Specialist.
- Compile and report regularly on expenditure and encumbrances by faculty and schools.
- Participate in monthly collection and development committee meetings.
- Promote good governance practices within ERM and CDM divisions.
- Manage, develop and implement ERM training processes across all campuses.
- Develop procedure training manual on the acquisition and management of electronic resources.
- Train staff in new procedures, new system releases and fund codes.
- Contribute to the development of training manuals and videos in support of the ER across all campuses.
- Develop ERM modules that form part of the short learning programme to be offered on a national platform.
- Provide training and support to the different divisions within and outside UFS LIS and across all campuses.
- Manage and advise all divisions within UFS across all campuses on matters pertaining to ERM activities.
- Develop ERM-focused presentations in support of the induction across all campuses.
- Present in local and international ERM-related gatherings that include webinars, workshops, symposiums and conferences.
Inherent Job Requirements
- Bachelor's degree or BTech degree on NQF Level 7 in Library and Information Science.
- Any Degree plus Postgraduate diploma on NQF Level 8 in Library and Information Science.
- Minimum of two (2) years relevant working experience relating to the duties and responsibilities.
- Membership of LIASA (attach the 2025 certificate).
Recommendations
- Honours degree on NQF Level 8 in the field of Library and Information Science.
- Knowledge of the academic library’s acquisition processes.
