Job Description

TIPS Project Coordinators are assigned to various masterplan projects, where they support the project manager and project team.

Roles and Responsibilities

  • Assist with managing project-related contractual agreements with donors, sub-contractors and service providers.
  • Provide project coordination on the masterplans projects that TIPS is supporting.
  • Set-up and coordinate project-related team meetings and stakeholder-specific engagements as per project requirements.
  • Compile, maintain and review/update contracts monitoring sheet on a monthly basis
  • Update the stakeholder register throughout the project life cycle.
  • Work closely with the Project Accountant to reconcile projects budgets
  • Ensuring project-related procurement processes are fair, transparent and in line with the TIPS policies and procedures.
  • Compile reports for the various masterplans.
  • Work closely with project managers to manage daily activities of masterplans.
  • Organise stakeholder meeting and take minutes of the meetings.
  • Update the project schedules to reflect progress on projects.
  • Update the risk and issues logs for project.
  • Organise all project-related travel arrangements and assist project manager and project team with project-related travel claims.
  • Develop, organise and maintain an electronic filing system of project-related documents.
  • Work with the Finance Manager and the Project Accountant to manage donor/funder project-related audits.
  • Share lessons learnt and best practices with colleagues, and build relationships with project stakeholders (particularly donor financial and monitoring teams; and sub-contractors).

Qualifications And Requirements

  • A Bachelor’s degree in a relevant field with at least 3 years of relevant working experience.
  • Ability to support multiple projects concurrently.
  • Strong project management skills.
  • Accuracy and attention to detail, be highly organised, and manage deadlines;
  • Ability to work in a multicultural and multidisciplinary setting, and able to work both in a team and independently;
  • Capacity to work under pressure and to adhere to strict deadlines with limited supervision;
  • Willingness to learn and be flexible;
  • Demonstrate an energetic and enthusiastic personality with strong relationship management skills;
  • Strong communication skills (written and verbal);
  • Able to make decisions or escalate issues where required;
  • Reliable and trustworthy;
  • Good time management and multi- tasking abilities/ ability to prioritize;
  • Strong working knowledge of Microsoft Office (Word, PowerPoint, Excel and MS Projects);
  • Basic project management and financial management skills.
