A leading company in Durban is seeking an Executive Assistant to manage the MD's schedule and ensure smooth daily operations. The role requires exceptional attention to detail, strong communication skills, and the ability to handle multiple priorities under pressure. The successful candidate will liaise with clients, prepare documentation, and provide administrative support to enhance workflow efficiency.

Qualifications

  • Proven experience in a similar administrative or executive assistant role (Ideally over 3 years experience).
  • High level of integrity and discretion when handling sensitive information.

Responsibilities

  • Manage all scheduling, meeting requests, and calendar coordination for the MD.
  • Prepare and manage documentation, reports, and correspondence on behalf of the MD.
  • Organize travel arrangements, appointments, and internal team coordination.

Job description

This role requires exceptional attention to detail, the ability to manage multiple priorities under pressure, and excellent communication skills. The successful candidate will play a vital role in managing the MDs schedule, coordinating client interactions, and ensuring the smooth running of daily operations.

Key Responsibilities :

  • Act as the first point of contact for the MD, managing all scheduling, meeting requests, and calendar coordination
  • Handle confidential information with discretion and professionalism
  • Prepare and manage documentation, reports, and correspondence on behalf of the MD
  • Liaise with clients and stakeholders to schedule meetings, follow-ups, and ensure clear communication
  • Monitor emails and assist in prioritizing tasks and deadlines
  • Organize travel arrangements, appointments, and internal team coordination
  • Maintain an organized filing system (digital and physical) for key documents
  • Provide administrative support to project tracking and internal communications
  • Assist in preparing presentations, proposals, and meeting briefs
  • Proactively identify ways to improve workflow, efficiency, and MD time management

Requirements :

  • Proven experience in a similar administrative or executive assistant role (Ideally over 3 years experience)
  • Excellent written and verbal communication skills
  • Strong organizational and time-management abilities
  • Ability to work under high pressure, prioritize effectively, and meet deadlines
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace
  • Professional demeanor and proactive attitude
  • High level of integrity and discretion when handling sensitive information
  • Preferred :
  • Experience in the renewable energy or technical services industry
  • Familiarity with CRM tools and calendar / task management software
