Lovisa is a fast-fashion retailer with a global presence, characterized by energetic growth. We are seeking a Lease Administrator to support our stores and offices worldwide.
Position Purpose and Expectations:
- Provide leasing administration support for Lovisa stores and support offices globally.
- Handle approval of rental payments, rent reviews, and general lease requirements.
- Manage month-end accruals and the entire lifecycle of lease payments.
- Oversee bank guarantee processes, cash deposits, and fitout contributions for new and renewing leases globally.
- Collaborate closely with finance and property departments on lease and property queries.
- Maintain data in leasing software (Lease Eagle).
- Generate weekly reports to support Leasing Executives worldwide.
- Assist with lease administration and compliance.
- Keep property databases updated with accurate data, including lease expiry, renewal dates, landlord incentives, base rent, outgoings, and other terms.
- Serve as the central point of contact for lease-related matters to ensure team awareness of lease requirements.
- Support and collaborate with the Lease Administration team, Leasing team, and other property department members.
Key Responsibilities:
- Conduct reference checks and reconcile store data.
- Maintain data integrity within the lease database (Lease Eagle).
- Review lease documentation for compliance.
- Occasionally prepare retail leases and subleases, assisting Lease Administrators.
- Interpret lease agreements independently and in detail.
- Record and track all dealings, maintaining lease reports and systems.
- Implement best practices in lease administration.
- Coordinate with departments to ensure smooth store opening transactions.
- Identify opportunities to reduce costs and improve efficiency.
Business Operations:
- Understand the property industry, lease contracts, legal terminology, and obligations of tenants and landlords.
- Proficient in MS Office, especially Excel.
- Self-motivated, proactive, and able to work independently within a team.
- Detail-oriented with high accuracy and organization skills.
- Excellent written and verbal communication skills.
- Capable of multitasking effectively.
