Job Description

Scope of Position:

A detail-oriented sales and marketing coordinator to contribute to the achievement of sales and marketing targets by supporting the sales and marketing manager, coordinating sales site inspections, supporting digital marketing strategies, and maintaining good customer relationships. The responsibilities include supporting sales, ensuring client satisfaction, coordinating with other departments, problem solving, handling administrative duties, and sending out quotations in a timely manner.

Sales and Marketing Coordination:

  1. Assist sales and marketing managers to improve productivity by contacting customers to arrange site inspections and ensuring all managers have high-quality, up-to-date support material.
  2. Handle urgent calls, emails, and messages when the Director of Sales and Marketing is unavailable, answer customer queries, inform them of delays, issue quotes, and assist with site inspections.
  3. Follow up on quotes and assist with conversion.
  4. Collaborate with other departments to ensure sales, marketing, queries, and events are handled efficiently.
  5. Develop and maintain online filing systems to keep sales records, prepare reports, and provide financial information to the finance department.
  6. Prepare function sheets and coordinate pre- and post-event reviews.
  7. Make the company's services attractive to potential customers.
  8. Ensure adherence to laws, regulations, and policies.
  9. Coordinate with external marketing consultants to align digital strategies and marketing collateral with the hotel's brand image.
  10. Manage digital media queries, TripAdvisor listings, reviews, and responses.
  11. Innovate, implement, and drive local campaigns and events.
  12. Manage the hotel website with external marketing support.
  13. Distribute contracted rates, follow up with clients, and keep records.
  14. Assist with administrative functions as needed.

Operational duties:

  1. Maintain thorough knowledge of hotel facilities and conduct regular site inspections.
  2. Assist with site inspections for potential clients and oversee events during busy periods.

Systems & Procedures:

  1. Report system issues and suggest improvements.
  2. Follow policies and procedures outlined in the brand standards and manuals.
  3. Complete duties thoroughly and ensure proper handovers.
  4. Participate in all relevant training programs.

Guest service and Employee Relationships:

  1. Greet guests and respond promptly to their needs.
  2. Provide efficient, friendly, and professional service.
  3. Anticipate guest needs and act immediately.
  4. Lead by example in customer service.
  5. Promote sales of hotel promotions and facilities.
  6. Maintain respectful relationships with colleagues and management.
  7. Manage client acquisition and retention, including cold calling and hosting events.

Environmental and Social Responsibility:

  1. Participate in community projects and hotel initiatives.
  2. Reduce energy and waste, promote recycling, and participate in social drives.

General and other Duties:

  1. Perform additional duties as assigned and ensure compliance with policies.
  2. Maintain high personal appearance standards and ensure security and safety.
  3. Attend scheduled training and development sessions.
Qualifications
  • Bachelor’s degree in Marketing, Business, Communications, or related field.
