Job description

We are currently seeking a reliable and experienced Courier Operations Supervisor to join our team. The ideal candidate will be responsible for overseeing the efficient operations of courier services. This role ensures couriers are performing tasks effectively, schedules are adhered to, and all deliveries meet company standards for timeliness and quality. The supervisor is responsible for addressing operational issues and maintaining staff motivation during shifts.

Key Responsibilities
  1. Shift Operations Management
    • Supervise all courier activities to ensure smooth and timely deliveries.
    • Monitor the progress of deliveries via tracking systems and adjust routes or resources as needed.
    • Address and resolve operational issues, including delivery delays, route changes, or emergencies.
    • Monitor and optimize delivery routes to improve efficiency and reduce delivery times.
    • Ensure all vehicles are properly maintained and meet safety and legal requirements.
    • Coordinate with the Inbound/Warehouse Manager for timely execution of picking according to planned deliveries and collections.
    • Resolve delivery queries and check that the correct loading of goods takes place to prevent damage.
    • Manage the allocation of trucks, drivers, and routes for delivery, including scheduling pickups, returns, re-deliveries, and collections.
    • Address urgent delivery or collection queries and collaborate with Returns/Complaints departments on related issues.
  2. Team Supervision
    • Assign tasks to couriers, ensuring proper workload distribution.
    • Conduct pre-shift briefings and provide ongoing support during shifts.
  3. Performance Monitoring and Reporting
    • Track and evaluate courier performance, ensuring compliance with standards.
    • Prepare shift reports and identify operational challenges for escalation.
    • Lead and supervise couriers, dispatchers, and support staff; conduct performance evaluations and training.
    • Manage shift schedules, attendance, and personnel issues.
    • Report on KPIs and implement process improvements.
    • Utilize technology to monitor deliveries and optimize routes.
    • Act as liaison between staff and management, and coordinate with other departments for workflow efficiency.
  4. Administrative Duties
    • Maintain accurate logs of deliveries, returns, and incidents.
    • Coordinate vehicle and equipment maintenance.
  5. Compliance and Safety
    • Ensure couriers are equipped with necessary tools and safety gear.
    • Enforce safety protocols, monitor compliance with safety standards, and maintain safe working conditions.
    • Manage fleet safety, conduct maintenance checks, and comply with legislation, including OHSA requirements.
    • Attend safety meetings and address safety-related issues.
  6. Customer Service
    • Act as the primary contact for customer inquiries and complaints.
    • Ensure professional and courteous service from couriers.
    • Monitor customer feedback and implement improvements.
    • Resolve delivery issues promptly and professionally, maintaining a high standard of customer satisfaction.
    • Maintain a professional appearance and behavior, and manage customer expectations effectively.
