Job description

PERSONAL ASSISTANT / OFFICE MANAGER
Advanced Proficiency on SAP and Microsoft Office Suite
Location: West Rand
Salary: R390K CTC per annum

Reporting to: General Manager and supporting Admin and Plant Managers

Responsibilities:

  1. Handle all travel, accommodation, and related bookings for functions on Travel IT
  2. Upkeep of impeccable filing systems
  3. Diary management and scheduling of meetings
  4. Monitor all time and attendance, including sick leave and leave for Plant personnel
  5. Preparation of overtime payments and familiarity with time and attendance functions
  6. Prepare and upload all standby allowances for personnel and handle payments
  7. Systems administration, uploading new procedures for 4 separate plants in SharePoint
  8. Manage utility allocations (electricity, water, etc.)
  9. Monitor telephone usage
  10. Creation of orders
  11. Compile reports on man-hours worked for SHE department
  12. Upload contractors on SAP system
  13. Ordering of supplies from stores for security, admin, and Safety personnel
  14. Minute taking and typing up thereof
  15. Assist with preparation for compilation of budgets

Minimum Requirements:

Matric plus Secretarial qualification
