Job description

Position has become available to manage Contracts and the sales administration functions.

Role Objective:

To manage the sales administration team and functions, including sales admin systems, product costing, pricing, quotations, tenders, and contract management. The goal is to retain existing customers and margins while growing the business. Additionally, oversee export sales and logistics administration management.

Minimum Requirements:
  1. B Degree (NQF7) (Sales and Marketing, Law or equivalent)
  2. At least 5 years of sales administration experience (management experience advantageous)
  3. ERP systems experience
  4. Contracts management experience and related legal knowledge
  5. Proven high mathematical competency
  6. Advanced MS Office skills (data analysis, formulas, graphs, reports)
  7. Excellent English proficiency, written and verbal
  8. Motivated, self-starter, and independent
  9. Observant with initiative-taking ability
  10. Attention to detail
  11. Ability to work under pressure and outside normal hours
  12. Minimum 3 years internal sales and export experience
  13. Minimum 3 years ERP system experience
  14. Ability to follow work instructions and procedures
  15. Ability to work independently
Key Responsibilities:
  1. Sales Administration Management:
    • Manage sales admin team and processes
    • Handle product costing and pricing for RFQ and tenders, including administration on platforms like Ariba and SAP
    • Align contract terms with legal requirements
    • Manage contracts, including price adjustments with supporting indices
    • Develop and maintain strategic customer relationships
    • Analyze and report commercial data
    • Verify document accuracy
    • Respond to customer queries
    • Liaise with Dispatch for timely deliveries
    • Maintain sales and customer records
    • Prioritize export sales orders and coordinate with production and dispatch
    • Assist debtor’s department with queries and reconciliations
    • Provide compliance certificates as needed
  2. Export Logistics Management:
    • Process export sales orders in ERP
    • Administer delivery notes and invoices
    • Manage export shipping quotations and documentation
    • Liaise with freight forwarders and logistics providers
    • Ensure SARS compliance with export documentation
    • Track and report cargo transit status
