Position summary: To assist in the smooth and efficient running of the department by performing administrative, operational, quality, safety, and data capturing functions.
Key Performance Areas (KPA)
Administrative Duties
- Perform data capture of patient and donor information on internal and external databases.
- Prepare billing documentation and enterprise scan and load them onto the content server for the Finance department.
- Prepare patient files and documents for checking, signature, and dispatch.
- Maintain an efficient filing system such as stock control, equipment, maintenance, repairs, orders, and stores files.
- Print certificates of analysis for reagents and consumables received in the laboratory.
- Print freezer graphs and patient test results for filing.
- Create shopping carts on SAP.
- Follow up on outstanding items and orders in a timely fashion.
- Book travel-related requirements on the travel service provider site.
- Conduct stock take of laboratory consumables and generate reservations on SAP.
- Communicate with Stores regarding reservations.
- Maintain adequate stock of all supplies needed in the laboratory.
- Prepare documents to be archived according to SOP.
- Retrieve archived documents and files as required.
- Communicate with the Finance Department regarding billing enquiries.
- Prepare minutes of laboratory meetings as needed.
- Communicate with external service providers regarding problems experienced.
- Follow up on incomplete requisitions with physicians or transplant coordinators.
- Dispatch samples for testing by internal and external stakeholders.
- Attend to liquid nitrogen suppliers for deliveries.
- Send out flow cytometry reports to clinical facilities and clinicians.
- Handle internal receipt and delivery of samples as needed.
- Update stem cell calendar with requests for re-infusions.
- Dispatch samples and consumables upon request.
- Handle telephonic enquiries related to laboratory work.
- Interact professionally with stakeholders.
Operational Duties
- Prepare stem cell hampers for out-of-zone collections.
- Ensure accurate temperature monitoring of lab equipment.
- Coordinate eye serum donations with donor centers.
- Receive and process eye serum, including spinning and labeling.
- Update stem cell calendar with information from registries and clinical facilities.
- Receive, pack, and manage stock.
- Discard expired reagents and report wastage.
- Perform routine cleaning and inventory management.
- Attend scheduled meetings and perform other reasonable duties.
SHEQ Duties
- Ensure compliance with safety policies and accreditation requirements.
- Identify non-conformances and report to the Head of Cellular Therapy Laboratory.
- Assist with maintenance and calibration scheduling.
- Coordinate with vendors for services.
- Assist with healthcare risk waste management and incident reporting.
- Perform daily temperature checks and cleaning.
- Support problem-solving and troubleshooting.
Waste Disposal Duties
- Dispose of waste per SOP.
- Order, receive, and store waste from disposal providers.
- Attach labels, scan containers, and record waste electronically.
- Manage waste bin rotation and traceability documentation.
Minimum Requirements
- Matric / Grade 12
- HPCSA Registered Laboratory Assistant
- Computer literacy in Microsoft Office
- SAP and/or Meditech experience preferable
