Job description

Reporting to the Maintenance and Maintenance Manager, the incumbent must:

Ensure scheduling, coordination, and resourcing of maintenance activities to achieve maximum production and asset efficiency/availability.

Be responsible and accountable for the effective operation of the CMMS and MRO Systems. This includes administering, managing, configuring, and controlling all asset management data in the CMMS, as well as generating and distributing Maintenance Management Reports (KPIs) on a weekly basis.

Supervise all engineering stores activities to ensure the right spares are available at the right time.

KEY PERFORMANCE AREAS:

Responsibilities include, but are not limited to:

  • Plan, schedule, and coordinate routine and major plant shutdowns, considering shutdown work, major maintenance, capital work, statutory, and operational requirements.
  • Create and review maintenance plans and jobs, updating and reviewing changes to optimize engineering resource utilization in collaboration with the Engineering Management team.
  • Manage the DMS system and submit system management reports to the Engineering Manager.
  • Manage the RCFA System database.
  • Carry out job loading for maintenance personnel.
  • Chair weekly planning meetings with maintenance foremen and production team leaders to discuss scope, dates, and requirements for all maintenance work orders.
  • Develop 2-week rolling maintenance plans.
  • Follow up on the status of spare parts needed for maintenance work orders.
  • Capture work orders as they come in and create work orders from completed PM schedules.
  • Study and manage approved work requests (job cards).
  • Create and update purchase requisitions, follow up on quotations.
  • Report daily and monthly schedule attainment per department.
  • Develop and maintain effective KPIs for maintenance performance, including plant efficiency/availability, cost, quality, safety, shutdowns, planning, etc., updating the KPI Tracking Board weekly.
  • Update the CMMS Calendar and tracking Board monthly.
  • Manage the Technical Library and gather technical data.
  • Coordinate standby lists for Production and Engineering support.
  • Manage and mentor the Stores Clerks.
  • Investigate and identify root causes of inventory discrepancies in receiving and issuing spares, developing corrective actions to prevent recurrence.
  • Ensure all spares master data in DMS are accurate, including re-order points, quantities, location, supplier info, etc.
  • Review spares stock annually and scrap redundant stock.
  • Conduct weekly stock replenishment runs and generate purchase requisitions.
  • Ensure timely delivery of spares, troubleshoot with suppliers as needed.
  • Initiate monthly and bi-annual stock takes.
  • Maintain the security of the Engineering Store and its contents.
  • Manage Health and Safety in Stores, including housekeeping.
  • Ensure inventory is accessible and safely stored.
  • Adhere to store systems and procedures, recording deviations via NCR process.
  • Maintain and report on Spares Inventory KPIs monthly.
  • Store all Stores Documentation securely for at least 2 years.
  • Develop and maintain KPIs for maintenance, including plant efficiency/availability, cost, quality, safety, shutdowns, planning, etc.
QUALIFICATIONS / SKILLS AND EXPERIENCE :

Recognized tradeTech or N.Dip (Electrical or Mechanical), 3 years experience in maintenance planning, computer literacy, CMMS experience, continuous improvement experience (WCM / Lean / Six Sigma), effective communication and influence skills.
