One of our clients based in the CBD, Cape Town, is looking for a Health Centre Administrator / Receptionist to join their team. They offer physiotherapy, biokinetics, personal training, yoga, pilates, and massage services through a collaborative team approach. Therapists and teachers work together to develop optimal treatment plans for injuries, pain, and sports improvement.

Qualifications & Skills :
  • Education: High school diploma or equivalent; Medical Office Assistant certification is a plus.
  • Experience: 1+ years in a medical receptionist or administrative role preferred.
  • Technical Skills: Proficiency in EHR systems (we use Bookem).
  • Soft Skills: Strong communication and interpersonal skills, multitasking, time management, professionalism, and empathy.
  • Other Requirements: Knowledge of medical terminology, insurance processes, and HPCSA compliance.
  • Ability to work in a fast-paced clinical setting, stand for long periods, and handle stressful situations.
Job Summary

The Health Centre Administrator (HCA) is the first and last point of contact for patients and visitors. The role demands excellent customer service, organizational skills, and efficient management of administrative tasks.

The HCA ensures smooth front-office operations, including scheduling appointments, managing patient visits and treatment plans, handling billing, and supporting the team.

This role also involves overseeing the clinic's tidiness, organizing repairs when necessary, and ensuring effective communication between therapists and clients.

A keen interest in health and fitness is essential. While medical advice is not provided, the HCA should understand telephone inquiries and guide clients appropriately.

Key Responsibilities :
Client Interaction & Customer Service :
  • Greet clients and visitors professionally and warmly.
  • Answer calls, emails, and WhatsApp messages; schedule appointments; respond to inquiries.
  • Manage schedules and communicate changes efficiently.
Administrative Duties :
  • Maintain the booking system.
  • Manage client schedules and ensure clear communication of treatment steps.
  • Handle billing, invoicing, and payments accurately.
Clinic Support :
  • Coordinate with healthcare providers.
  • Manage office supplies and keep the reception area tidy.
  • Assist with patient flow and notify staff of emergencies.
  • Follow HPCSA guidelines to maintain patient confidentiality.
