Job description

Job Title: Assistant Director: Contract Management

Location: Gauteng, Pretoria

Requirements
  • An appropriate B Degree (NQF level 7) or a Three-year Diploma (NQF level 6) in Business Administration and/or Supply Chain Management or equivalent.
  • Minimum three years of relevant experience. Demonstrable competency in acting independently, professionally, and with credibility. Extensive knowledge of PFMA, PPPFA, BBBEE, Treasury Regulations, Supply Chain Management, and other relevant public service prescripts. Willingness to travel and ability to work extended hours where necessary. Good negotiating, interpersonal, planning, and organizing skills.
Duties
  1. Drafting contracts, service level agreements, and addenda. Review proposals, bids, and SLAs/contracts. Manage the contract lifecycle, address contractual queries, and handle notices of default and termination. Assist with SLA/contract legalities, policies, and practices for internal users, business units, and clients.
  2. Analyze contract/SLA requirements, special provisions, terms, and conditions in accordance with applicable laws, regulations, policies, and business processes.
  3. Communicate internally and externally regarding SLAs/contracts. Create and review vendor performance evaluation documents. Record and upload contracts, SLAs, and vendor performance reports into the Contract Management System. Manage variations, contract amendments, price adjustments, cancellations, and restrictions.
  4. Propose remedial actions for poor or non-performance by service providers. Assist in resolving contractual disputes and implementing remedial plans. Compile monthly performance reports for the Contract Management section. Conduct monitoring activities and close-out procedures for contracts. Facilitate SLA/contract execution, review, and close-out meetings.
  5. Guide and support contract stakeholders to ensure obligations are met. Define, communicate, and monitor SLA metrics. Ensure compliance by suppliers and vendors. Conduct inspections and meetings as needed. Issue notices regarding contract expiry and facilitate negotiations and documentation.
  6. Participate in negotiation meetings, record proceedings, and follow up on outstanding issues. Maintain document control and ensure proper distribution of contract information. Conduct research to support SLA/contract processes. Serve on Bid Specification and Evaluation Committees.
  7. Contribute to the development or review of the Supply Chain Management Policy. Maintain good record-keeping to reduce audit queries. Safeguard contracts and relevant information. Distribute necessary information to stakeholders and end-users.
  8. Handle storekeeping and procurement tasks as required.
