POD Clerk


Business Overview

This is a busy, fast-paced operation which offers many challenges and opportunities for the right person. This position is based at DSC Kempton Park.


Role Outline

Effective control of stock integrity by counting stock daily. Manage and control duties to agreed levels of performance and to contribute to the continuous improvement of the inventory process. To coordinate functions to maximize utilization - productivity and customer service. Service delivery - on time & in full - accurately. Ensure customer service is the highest standard and that losses to the company are kept to a minimum. To always maintain the integrity of the company. To adhere to inventory processes whilst ensuring all Health and Safety, Legal, and Security requirements are met. To comply with the standard operating procedures of the goods receiving function and KPI measures in place. Perform administrative tasks in line with operational requirements and "making DHL a great place to work".


Key areas of responsibility include:

  • To report accurate and timely information to Management
  • To build relationships throughout the supply chain e.g., Dispatch clerks, Haulers, Depots, and Customer Service
  • To report and record any non-conformity regarding customer requirements
  • Perform administrative tasks in line with SOP which encompasses receiving documents from Dispatch Clerks, preparing documents for scanning, extracting outstanding reports to ensure all documents have been scanned within 24 hrs. of delivery on Oculus. Filing process - sort documents, check/verify against delivery report, investigate missing documents, file documentation per procedures. Deal with customer requests for PODs within 24 hours as per contractual agreement. Ensure accuracy of PODs and check if credits have been passed.
  • Processing and scanning all C&R linehaul PODs at debrief.
  • Support line manager in following up on and tracking Oculus scans across the network.
  • Send weekly reports to all C&R Sites, including TSP, on outstanding PODs and unscanned PODs.
  • Follow up bi-weekly on overdue “OLD” PODs, which pose a financial risk to DHL.
  • Assist sites where needed - Gauteng sites.
  • Investigate PODs.
  • Check to ensure PODs are scanned and indexed correctly.
Qualifications And Experience

Grade 12 / Matric – Essential


Tertiary qualification (Advantageous)


3 - 4 years administration experience
