Job Title: Customer Services Supervisor (Fixed Term Contract)

About The Role

We are seeking a Customer Services Supervisor to manage the gift card operations and perform administrative functions within the Finance and Administration department, ensuring smooth, efficient, and effective operations.

Role Objectives / Responsibilities

  1. Order and receive gift cards according to policies and procedures.
  2. Reconcile daily takings as per company policies and procedures for all information desk staff.
  3. Obtain sign-off from Finance and Admin Manager on monthly gift card sales reconciliation.
  4. Ensure all information kiosks are staffed during mall trading hours, providing correct information to customers.
  5. Handle gift card queries, customer complaints, and investigations.
  6. Ensure gift cards are sold in accordance with company policies, procedures, and audit requirements, including:
  • Immediate reporting of problems to the Finance and Admin Manager.
  • Completing daily takings sheets accurately.
  • Daily banking.
  • Updating gift card reconciliation daily and submitting to head office finance monthly.
  • Approving batch loads for gift card sales.
  • Matching debit and credit card reconciliations with bank settlements.

Staff Management

  • Training and development of staff.
  • Performance management.
  • Succession planning.
  • Staff discipline and rostering.
  • Punctuality, salary/overtime management, coaching.

Account Reconciliation & Procurement

  • Reconcile all NON-GLA accounts and forward for approval and invoicing.
  • Collect outstanding amounts.
  • Check procurement paperwork, account allocations, and approvals.
  • Manage budgets, raise requisitions on SAP, attach relevant documents, and ensure proper approvals.
  • Receipt costs post-job/promotion and forward to Accounts Payable before payment cutoff.

Monthly Cost Accruals & Reporting

  • Manually accrue monthly costs not yet receipted, and forward to finance by the 26th of each month.
  • Complete variance comments on marketing spend and submit to head office by the 3rd of each month.
  • Prepare goods receipt reports with comments on outstanding orders.

Minimum Qualifications

Matric Certificate.

Experience

Minimum 2 years in cash sales, administration, reconciliation, or customer service roles.
