We are currently seeking a reliable and experienced Courier Operations Supervisor to join our team. The ideal candidate will be responsible for overseeing the efficient operations of courier services. This role ensures couriers perform tasks effectively, schedules are adhered to, and all deliveries meet company standards for timeliness and quality. The supervisor is also responsible for addressing operational issues and maintaining staff motivation during shifts.
1. Shift Operations Management
- Supervise all courier activities to ensure smooth and timely deliveries.
- Monitor the progress of deliveries via tracking systems and adjust routes or resources as needed.
- Address and resolve operational issues, including delivery delays, route changes, or emergencies.
- Monitor and optimize delivery routes to improve efficiency and reduce delivery times.
- Ensure that all vehicles are properly maintained and meet safety and legal requirements.
- Monitor and control the flow of stock into and out of outbound cages.
- Coordinate with the Inbound/Warehouse Manager for timely execution of picking according to planned deliveries and collections.
- Resolve delivery queries and check that the correct loading of goods takes place to prevent damage.
- Manage the allocation of trucks, drivers, and routes for delivery.
- Schedule and manage pick-ups, returns, re-deliveries, and collections.
- Address and resolve issues related to unsuccessful pick-ups, returns, and re-deliveries.
- Monitor activities throughout the day and intervene on anomalies.
- Handle queries related to urgent deliveries and collections.
- Collaborate with Returns/Complaints departments on relevant operational matters.
2. Team Supervision
- Assign tasks and ensure proper workload distribution among couriers.
- Conduct pre-shift briefings to communicate objectives and updates.
- Provide ongoing support and guidance during shifts.
3. Performance Monitoring and Reporting
- Track and evaluate courier performance to ensure compliance with standards.
- Prepare shift reports on delivery metrics, issues, and feedback.
- Identify recurring challenges and escalate to the Operations Manager.
- Conduct performance evaluations, coaching, and training.
- Manage shift schedules, attendance, and personnel matters.
- Report on KPIs such as delivery times, customer satisfaction, and costs.
- Implement process improvements and utilize technology for monitoring and route optimization.
- Communicate performance goals and operational updates to staff.
- Coordinate with other departments to ensure smooth workflow and resolve bottlenecks.
- Prepare regular reports for senior management on operational performance.
4. Administrative Duties
- Maintain accurate logs of deliveries, returns, and incidents.
- Coordinate maintenance of vehicles and equipment.
5. Compliance and Safety
- Ensure all couriers have necessary tools and safety gear.
- Ensure operations comply with policies, safety standards, and regulations.
- Implement safety protocols to minimize accidents.
- Enforce access control and monitor safety guideline compliance.
- Maintain safe working conditions and fleet safety.
- Conduct safety checks and ensure maintenance is up-to-date.
- Comply with OHSA legislation and complete related checklists.
- Attend safety meetings and address safety concerns.
6. Customer Service
- Act as the primary contact for customer inquiries and complaints.
- Resolve delivery issues promptly and professionally.
- Ensure couriers provide courteous service and maintain a professional image.
- Monitor customer feedback and seek continuous improvement.
- Manage customer expectations and communicate effectively.
- Handle complaints and escalate when necessary.
- Recognize customer-centric behaviors and promote professionalism.
Qualifications
- Diploma or equivalent; additional qualifications in logistics or management are a plus.
- Proven supervisory experience in courier, logistics, or transportation industries.
- Knowledge of local geography and delivery routes.
- Flexibility to work shifts, including weekends and holidays.
- Strong leadership, problem-solving, and communication skills.
- Proficiency in logistics software and tracking systems.
