Purpose of the role
- To provide a courteous, prompt, and professional administration service to all customers and internal departments.
- To ensure all accounts are administered comprehensively.
The Role:
In this exciting role, you will:
- Communicate schedules and order dates to external sales teams and customers.
- Raise customer orders on the business system, handle repeat orders with amendments to artwork, and process through the appropriate procedures.
- Work with Estimating and Sales Departments to ensure correct pricing is issued to the customer, entered onto the Business System, and invoiced.
- Receive customer requests for order amendments, confirm with production and purchasing, and notify senior management of any sales projection changes.
- Raise concession forms for customer trials when required, ensuring no trial proceeds without a purchase order or concession form.
- Forward all received information and documentation to the Technical Services Representative.
- Liaise with Sales / Key Account Managers to facilitate information transfer for new projects.
- Provide a communication channel between operations, external sales, and the customer.
- Assist the Technical Services Representative in communicating project statuses.
- Respond to all project actions within the defined timeline.
- Monitor the production schedule daily and advise customers of deliveries.
- Liaise with the Production Planner to ensure timely production and communicate progress to customers.
- Manage stock levels for stock customers, adhering to min/max programs.
- Issue accurate stock and production reports to customers promptly.
- Ensure proofs are delivered timely, with feedback directed to relevant departments, updating the Business System and uploading PDFs.
- Assist in delivering label profile drawings, line audit reports, and other pre-print services to customers.
- Refer costings or commercial issues to the Sales & Customer Services Manager for approval before dispatch.
Minimum requirements to succeed:
- Matric Certificate
- Diploma in Sales & Marketing / Logistics
- Credible customer service experience
- 2-5 years of sales administration experience
