Job summary

Job Purpose

The Administrative Assistant / Technical Coordinator is responsible for managing administrative functions, coordinating technical operations, and ensuring seamless workflow between technicians, clients, and management. This high-pressure role requires excellent organizational, communication, and project management skills. The candidate must be able to work independently and as part of a team while handling multiple tasks efficiently.

Minimum Requirements
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word).
  • Excellent written and verbal communication skills.
  • Strong problem-solving abilities and attention to detail.
  • Ability to handle a high-pressure work environment.
  • Experience in project management and logistics.
  • Ability to work independently and as part of a team.
  • Reside in the areas of Strand, Somerset-West, or Stellenbosch.
  • Own transport is required.
  • Minimum Grade 12 or equivalent qualification.
  • Minimum of 3-5 years of experience in administrative procedures within a technical or engineering environment.

Duties Will Include But Not Limited To
  • Technical Support & Administration: Perform administrative duties effectively, support staff, assist with travel arrangements, maintain technical records, and support report and proposal preparations.
  • Coordination & Communication: Act as liaison between teams and clients, coordinate meetings and site visits, and manage communication within teams.
  • Compliance & Quality Assurance: Ensure adherence to policies, assist with audits, and handle sensitive information confidentially.
  • Project Management: Load projects within 24-48 hours, raise POs within 24 hours, provide feedback on invoicing, and oversee project expenses.
  • Procurement & Inventory Management: Create and match POs, liaise with suppliers, manage open PO and GRV lists, and handle faulty equipment repairs.
