Oryx Energies is one of Africa's leading LPG distributors within the LPG Industry. We are a Swiss multinational company with a significant footprint in Africa, seeking a professional and experienced Office Manager & EA for our head office in Bryanston.
Responsibilities
- Proficient management of the Head Office facilities and executive assistant duties to the Managing Director and Executive Leadership Team.
- Organize and coordinate administrative duties and office procedures.
- Responsible for company travel arrangements.
- Create and maintain a pleasant work environment, ensuring organizational effectiveness, communication, and safety.
Office Manager Principal Activities
- Oversee the day-to-day operations of the Head Office.
- Manage departmental budgets, monitor expenses, and ensure cost control.
- Collaborate with HSSEQ to update and maintain office policies, ensuring health and safety compliance.
- Ensure the office site is compliant with health, safety, and welfare policies, and is audit-ready.
- Manage external contractors and service providers, reviewing contracts for cost savings.
- Coach and mentor the General Services team to improve office efficiencies.
- Coordinate travel arrangements through the Office Administrator.
- Assist in onboarding new hires and liaise with facility service providers.
- Support in-house or off-site activities related to marketing, celebrations, and conferences.
Executive Assistant Accountabilities
- Support the Managing Director and senior management in daily routines.
- Maintain the MD's calendar, schedule meetings, appointments, and travel.
- Serve as a liaison with stakeholders, managing communications tactfully.
- Assist with project management activities and coordinate governance meetings.
- Prepare correspondence, meeting agendas, and minutes.
- Manage expense reports and maintain filing systems.
- Attend meetings, take notes, and prepare summaries.
- Support external industry events and ensure ISO compliance.

Qualifications & Experience
- Minimum diploma in administration, business, secretarial, or related field.
- 2-3 years of experience as a management or executive assistant.
- Exceptional English communication skills (written and spoken).
- Proficient in Microsoft Office.
- Ability to handle confidential information and work independently under pressure.
- Honesty, reliability, sound judgment, and decision-making skills.
- Energetic, proactive, and a team player capable of building relationships.
