Responsibilities Include :
- Ensure smooth daily office operations through effective coordination and support.
- Maintain full functionality of all office systems and equipment.
- Accurately manage the Director’s diary, meetings, and reminders.
- Book travel (flights, hotels, transport) timely with correct details and check-ins.
- Draft and update written correspondence in priority order and within deadlines.
- Handle or escalate all queries and requests within 24 hours.
- Assist with the implementation of the Director’s marketing ideas.
- Attend meetings with the Director and suppliers; note key actions.
- Manage advertising briefs and media schedules to meet deadlines.
- Coordinate with designers, printers, and distributors to ensure timely outputs.
- Update supplier pricing cycles and consolidate monthly records.
- Process regional leave requests and submit for approval within 2 days.
- Place accurate job orders with suppliers.
- Manage stationery orders to avoid shortages.
- Issue PO numbers within 24 hours of request.
- Reconcile supplier accounts monthly and arrange for payment.
Qualifications and Experience :
- Matric (Grade 12)
- Tertiary qualification (e.g., Diploma or Certificate in Office Administration, Business Administration, or Secretarial Studies) is advantageous.
- 3–5 years’ experience in a Personal Assistant, Executive Assistant, or similar administrative support role.
- Strong administration, organization, and prioritization skills.
- Proven ability to manage calendars, meetings, travel, and office systems.
