Reporting to:

Learning Design Operations Coordinator

Job Summary:

The Learning Design Administrator supports the Learning Design team by undertaking a range of administrative tasks including planning, scheduling, and organising resources and stakeholder management. The role involves reviewing reports, collating data, supporting the student experience, and assisting with unit development and project management tools. The administrator provides organized support to the team.

Key Responsibilities:
  1. Facilitate, record, and distribute online department meetings.
  2. Assist with scheduling meetings, academic communication, and events during peak times.
  3. Maintain accessible file management with consistent naming conventions.
  4. Document workflows and processes for transparency.
  5. Create spreadsheets, reports, and dashboards for data analysis.
  6. Set up schedules and folders for team development.
  7. Maintain Monday.com as a project management tool.
  8. Utilize advanced Excel skills for data manipulation.
  9. Liaise with internal teams like IT and People & Culture to ensure team needs are met.
  10. Implement e-textbooks in the learning management system.
  11. Maintain an information repository for unit resources.
  12. Coordinate with student operations and academic teams on textbook requirements.
  13. Work with external partners for procurement of texts and licenses.
  14. Support onboarding and internal movements within the Learning Design team.
  15. Assist with confirming unit availability and course planning accuracy.
  16. Troubleshoot and escalate technical issues.

External: Partner university stakeholders

Internal: Director of Learning Design, Program Directors, Program Coordinators, Lead Unit Convenors, Lead Learning Designers, Unit Quality Team, Student Support, People & Culture, IT Support
