Job description

What You Will Do

The main purpose of the role is to be a key player in delivering the Customer Charter and achieving high customer satisfaction combined with optimized aftermarket profitability. This involves providing service in line with customer expectations and assisting with all relevant functions within the parts warehouse. Ensure the dealership operates according to GVS processes during the phases “Planning”, “On Arrival”, and “Dealer to Customer and Follow Up”.

Reporting

This position reports to the Parts Controller.

Job Objectives
Receiving/Inbound
  • Ensure goods are received according to Volvo procedures.
  • Verify all parts against documentation within KPI standards.
  • Record discrepancies in the GDS system and document descriptions and part numbers.
  • Bin parts according to system allocations.
Outbound
  • Process customer orders with correct picking, packing, and distribution.
  • Update the system after authorization.
  • Dispatch correct parts and quantities as per invoice.
  • Ensure timely delivery of parts to technicians.
Credit Notes
  • Check and sign off credit notes for processing.
  • File credit notes sequentially.
  • Follow procedures for credit processing, e.g., no electrical parts returns.
Stock Counts and Bin Verifications
  • Conduct daily perpetual counts.
  • Investigate discrepancies thoroughly.
  • Authorize and record adjustments before system updates.
Housekeeping
  • Maintain a neat and tidy warehouse.
  • Store parts correctly.
  • Bin parts accurately.
  • Collect waste timely.
  • Secure the perimeter.
Exchange Parts
  • Ensure exchange parts meet standards.
  • Manage receiving, storage, and return of core parts.
  • Label and pack core parts for return to PDC.
Health and Safety
  • Ensure warehouse personnel comply with health and safety regulations.
Qualifications & Experience

Matric / Grade 12, with a diploma in Warehouse Management or at least three years of warehousing experience.

  • Customer-focused and resourceful.
  • Team player with quality and time management skills.
  • Ability to plan, organize, and control stock effectively.
