Job description

Trademark Administrator

Spoor & Fisher is seeking a dedicated Trademark Administrator to join the Trademark Formalities: Changes department.

Location: Centurion office
Reporting to: Administrative Head

Key Duties & Responsibilities
  1. Opening and managing files on Inprotech, including diary management for said files.
  2. Monitoring deadlines and ensuring timely completion of tasks.
  3. Reviewing documentation for accuracy and appropriateness for recordals.
  4. Preparing recordal application forms and instructing agents to file recordals.
  5. Coordinating with current or previous agents to obtain file contents for portfolio takeovers.
  6. Preparing documents for client execution, such as assignment agreements, license agreements, and powers of attorney.
  7. Updating internal systems and capturing relevant data.
  8. Following up with Registries and agents on outstanding matters.
  9. Processing official documents received from Registries and agents, including accuracy checks.
  10. Invoicing clients and processing invoices from agents.
  11. Communicating with clients regarding matter status, quotations, documentation, and recordal procedures.
Desired Experience & Qualifications
  • Proficiency in Inprotech and DMS.
  • Strong skills in MS Office.
  • Excellent command of the English language.
  • Attention to detail and accuracy.
  • Ability to work independently and unsupervised.
  • Driven, deadline-oriented, and capable of working under pressure.
  • Legal knowledge is preferred but not mandatory.
