Job summary

A leading company in South Africa is seeking an HR Operations Coordinator to streamline HR processes and manage the Sage 300 system. Job description

Main Purpose:

To streamline HR operations, making it more efficient and effective in managing the system.

Key Performance Areas
Systems
  • Manage and maintain the Sage 300 system. Direct upload within the relevant fields on the system from Qualifications, to Contracts, to General supporting documentation. Reliance on uploading documents is pivotal in reducing the reliance on physical documents being filed.
  • Provide support to HCM staff if and when documentation is needed for benchmarking purposes.
  • Upload of amended documents after each salary file submission.
  • Ensuring all documentation is well organized and easily accessible as per naming convention.
  • And any other system requirements not mentioned above.
Marketing
  • Assist with preparing marketing materials for Expos, etc.
  • Maintain and update marketing database and contact list for mass-mailers.
  • Possible assistance with social media management stats.
  • Assist in distributing mass mailers and advertising vacancies.
Additional Administrative Tasks
  • Provide admin support to other HCM functionalities, including reception duties during staff absences.
  • Assist with additional administrative tasks as needed.
  • Participate in training and development to enhance skills and knowledge for future responsibilities.
  • Ensure continuity and support for key administrative tasks within the department.
Payroll Assistance
  • Assist the payroll department with monthly file checking and data verification.
  • Support the preparation and organization of documents for audit purposes.
  • Assist wage sector with leave pay-out reconciliations (annually).
  • Ensure accuracy and compliance with payroll processes.
  • Collaborate with the payroll team to resolve discrepancies or missing data.
  • Perform any other job-related duties as required from time to time.
