For our locations in Johannesburg (Lanseria) or Cape Town, we are looking for a Sales Operations Administrator (m/f/d)

Your Tasks

  1. Execute confidential secretarial and general sales-related administrative functions in the Administration Department, including the proper use of sensitive company information.
  2. Proactively handle customer queries, requests, and complaints, finding resolutions according to company standards.
  3. Support the sales process by generating, issuing, filing, and managing all sales orders through various sales channels or directly from trade, including:
  • Administer and file all sales orders to meet financial audit standards.
  • Manage sales backorders and registers.
  • Follow up on and monitor the progress of backorders, dealing directly with internal and external customers.
  • Coordinate with suppliers, freight forwarders, and internal logistics to track shipments and communicate expected shipping dates to clients and sales teams.
  • Assist with delivery processes, including drop shipments, exports, and installations, ensuring smooth transition from receipt to final delivery.
  • Help manage loan devices in trade for the sales teams and logistics.
Knowledge, Skills, and Attributes

  • Excellent administrative skills.
  • Strong verbal and written communication skills in English; Afrikaans is an advantage.
  • Attention to detail and diligence.
  • A supportive, caring, and service-oriented personality with goal-driven attitude.
  • Self-motivated with the ability to independently find and execute solutions following procedures.
  • Proven background in sales or commercial administration.
  • High organizational and planning skills with the ability to manage multiple activities simultaneously.
  • Knowledge of SAP B1 or similar ERP systems is advantageous.
  • Proficiency in Microsoft Office, especially Excel.
  • Knowledge of CRM systems and tools.
  • Professional telephone and email etiquette.
  • High work ethic, integrity, energy, and customer service orientation.
Your Qualifications

  • Minimum Grade 12.
  • At least 5 years of experience in a similar sales administration role dealing directly with customers.
  • Sales and marketing qualification is an advantage for career development.
  • Experience with imports and exports is advantageous.
  • Experience in a fast-paced FMCG or fresh food industry is beneficial but not necessary.
