We are seeking a highly organized and detail-oriented Personal Assistant (PA) with experience in Accounts administration to provide comprehensive support to a Senior Manager. This role combines traditional personal assistant responsibilities with a strong understanding of basic accounting principles and tasks. The ideal candidate will have excellent organizational skills, a high level of professionalism, and the ability to multitask effectively in a dynamic work environment.
Responsibilities include:
- Administrative Support:
- Providing day-to-day administrative support including calendar management, scheduling meetings, and handling correspondence.
- Screening and prioritizing calls, emails, and other communication.
- Organizing travel arrangements such as flights, accommodations, and itineraries.
- Maintaining digital and paper-based files, documents, and records.
- Handling confidential information with discretion and professionalism.
- Performing general office duties like ordering supplies, managing office maintenance, and liaising with service providers.
- Accounts & Financial Support:
- Assisting with basic accounting tasks, including invoice preparation, expense tracking, and reconciliation.
- Maintaining accurate records of financial transactions and assisting in financial report preparation.
- Supporting budgeting processes and ensuring timely invoice and payment processing.
- Liaising with vendors, clients, and internal departments regarding financial matters.
- Assisting with payroll tasks such as tracking employee hours and managing expenses.
- Preparing financial spreadsheets and reports using Excel or other software.
- Adhering to company financial policies and procedures.
- Project Management:
- Supporting management of small projects or tasks, ensuring deadlines and milestones are met.
- Organizing events, meetings, or conferences, including budgeting and vendor coordination.
- Other Duties:
- Undertaking additional tasks as assigned by the Manager to ensure smooth daily operations.
Requirements:
- Proven experience as a Personal Assistant, Executive Assistant, or similar role.
- Solid background in accounts or financial administration with basic accounting knowledge.
- Proficiency in Microsoft Office Suite.
- Excellent written and verbal communication skills.
- Ability to multitask, prioritize, and meet deadlines.
- Strong attention to detail, especially in financial matters.
- Highly organized, able to work independently and in a team.
- Discretion and integrity handling confidential information.
- Proactive attitude, anticipating needs and taking initiative.
- Relevant degree or qualification in Business, Finance, or related field is a plus.
