Executive Assistant to CEO (Multiple Companies)

Reports To : About the Role
We are looking for a proactive, highly organized, and fast-moving Executive Assistant (EA) to support the CEO of a group of fast-growing companies. This is a full-time remote position for candidates based in South Africa or Latin America , with full availability during U.S. Eastern business hours .
This role goes far beyond traditional executive support. You’ll be the CEO’s right hand — managing schedules, communications, and high-level coordination across multiple ventures — while also leading proactive outreach and relationship-building efforts on the CEO’s behalf. The right candidate will be fast , responsive , resourceful , and confident interfacing with key stakeholders and executives .
Key Responsibilities
Executive & Operational Support
Manage a dynamic calendar across multiple businesses, including complex scheduling across time zones
Monitor and manage the CEO’s inbox, prioritize messages, draft responses, and ensure timely follow-ups
Prepare agendas, take notes, track follow-ups, and ensure alignment on key meetings and initiatives
Book and coordinate travel itineraries, accommodations, and logistics as needed
Track progress on business initiatives, coordinate with team members, and manage internal deadlines
Occasionally assist with personal tasks or logistics to free up executive focus
Stakeholder & External Relations
Make introductions on the CEO’s behalf to key stakeholders, clients, and collaborators
Conduct proactive outreach via email and social media for various business development and networking initiatives
Documentation & Reporting
Create and maintain organized Google Sheets, Docs, and other collaborative documents for ongoing projects and strategic lists
Provide weekly reports to the CEO on deliverables, priorities, and completed tasks
Required Skills & Experience
3+ years supporting senior executives or founders in a fast-paced environment
Extremely responsive and highly reliable, with strong attention to detail
Experience handling sensitive or high-level business communications
Confident navigating Google Workspace, Slack, Zoom, and other remote collaboration tools
Typing speed in the top 10–15% (minimum 60+ WPM )
Ability to work U.S. hours (8am–6pm EST)
Fast and consistent response times via Slack, text, email, and other communication channels
Strong organizational and multitasking skills with a proactive mindset
Preferred Qualifications
Prior experience supporting CEOs or executives managing multiple companies
Familiarity with CRMs, project management platforms, or basic financial / admin tasks
Comfortable in a remote-first, high-autonomy, high-trust work environment
Compensation
Base Salary : $1,500–$3,000 / month based on experience.
