Position Overview

We are seeking an Administration Manager to join the Instacom team. The incumbent will coordinate and manage the administrative division, ensuring compliance with corporate governance and administrative procedures across all departments. The role also involves ensuring contractual obligations and vetting processes are completed to maintain business continuity.

This is a full-time, office-based position located in Gauteng.

Responsibilities
  1. Apply rules, policies, and procedures related to various funds, ensuring compliance with service level agreements.
  2. Organize and manage administrative activities, ensuring professional responses and performance standards.
  3. Monitor and improve the performance and productivity of staff.
  4. Ensure payments adhere to contractual agreements.
  5. Maintain relationships with stakeholders.
  6. Review and enhance administrative systems.
  7. Manage supplies and departmental budgets.
  8. Control departmental assets and ensure financial compliance.
  9. Ensure adherence to governance policies and regulations.
  10. Contribute to departmental and strategic planning.
  11. Set goals and streamline administrative processes.
  12. Supervise office activities and staff, including cleaning, reception, and administration assistants.
  13. Maintain filing systems and ensure legal compliance.
  14. Perform vetting procedures, invoicing, and account reconciliations.
  15. Prepare reports for senior management.
  16. Manage external applications and distribute confidential documentation.
  17. Assess staff performance and promote a positive work environment.
  18. Collaborate on policy implementation and process improvements.
  19. Participate in ongoing training and personal development.
  20. Ensure compliance with the POPI Act and establish privacy standards.
Minimum Skills & Competencies
  • Excellent written and spoken English, with report and email writing skills.
  • Strong time management and prioritization skills.
  • Valid driver’s license.

  • Proficiency in PC programs and related skills.
