Objectives

Topia Water seeks an organised, detail-oriented, and proactive Sales administrator to join our dynamic team. This role plays a crucial part in supporting the sales department through strong administrative execution and communication. You will work closely with Sales Executives to ensure smooth and efficient management of leads, quotes, contracts, and customer engagements. This is an ideal role for someone who thrives in a fast-paced environment, enjoys working with people, and brings a strong sense of ownership and initiative to their work.

Goals and Outcomes
  • Administrative Efficiency: Complete tasks and manage sales documentation accurately and on time.
  • Forecast & Reporting Accuracy: Deliver reliable sales reports and input forecasting.
  • Team Collaboration: Ensure smooth communication across departments and support sales initiatives.
  • Sales Support Satisfaction: Provide effective, proactive support to Sales Executives and Account Managers.
  • Process Improvement: Identify and implement ways to streamline sales processes.
Key Responsibilities
  • Lead Management: Manage and track all incoming leads, ensure prompt allocation to Sales Executives, and follow up to ensure action and accountability.
  • Sales Administration & Support Planning: Prepare and manage SLA Agreements, quotes, CRM data input, sales reports, performance indicators, and other sales documentation. Support Sales Executives with planning and sales strategies.
  • Internal Communication: Act as a liaison between the Sales team and other departments, ensuring smooth coordination and project alignment.
  • Marketing Collaboration: Work with the Marketing team to provide sales-related input and support on campaigns and initiatives.
  • Process Optimisation: Identify areas for streamlining sales processes and improving team efficiency. Propose and implement practical solutions.
  • Sales Reporting & Forecasting: Assist in creating accurate forecasts, compiling regular reports and dashboards, and tracking performance metrics.
Knowledge and Experience
  • 1-3 years' experience in sales support, sales coordination, or administrative roles
  • Background in a sales environment is essential
