Job Description
Scope of Position:

A detail-oriented Sales and Marketing Coordinator to support the achievement of sales and marketing targets by assisting the Sales and Marketing Manager, coordinating site inspections, supporting digital marketing strategies, and maintaining good customer relationships. Responsibilities include supporting sales efforts, ensuring client satisfaction, coordinating with other departments, problem-solving, handling administrative duties, and timely sending out quotations.

Key Responsibilities:
  1. Assist the sales and marketing managers to improve productivity by contacting customers for site inspections and providing high-quality, up-to-date support materials.
  2. Handle urgent calls, emails, and messages in the absence of the Director of Sales and Marketing, respond to customer inquiries, inform about delays, issue quotes, and assist with site inspections.
  3. Follow up on quotes and assist with conversion efforts.
  4. Collaborate with other departments to ensure efficient handling of queries, sales, marketing, and events.
  5. Develop and maintain online filing systems for sales records, reports, and financial information.
  6. Prepare function sheets and coordinate pre- and post-event reviews.
  7. Enhance the attractiveness of the company's services to potential customers.
  8. Ensure compliance with laws, regulations, and policies.
  9. Coordinate with External Marketing Consultants to align digital strategies and marketing collateral with the hotel’s brand image.
  10. Manage digital media queries, TripAdvisor listings, reviews, and responses.
  11. Implement and promote local campaigns and events.
  12. Manage the hotel website in collaboration with External Marketing Consultants.
  13. Distribute contracted rates, follow up with clients, and maintain records.
  14. Assist with administrative functions as needed.
Operational Duties:
  1. Maintain comprehensive knowledge of hotel facilities and room types.
  2. Conduct regular inspections and report operational concerns.
  3. Assist with site inspections for potential clients.
  4. Be available during busy periods to oversee events, including weekends and evenings.
Systems & Procedures:
  1. Report system issues and suggest improvements.
  2. Follow established policies and procedures.
  3. Complete duties thoroughly and provide clear handovers.
  4. Participate in all relevant training programs.
Guest Service & Employee Relationships:
  1. Greet guests warmly and respond to their needs promptly.
  2. Provide professional and friendly service at all times.
  3. Anticipate guest needs and act immediately.
  4. Lead by example in customer service excellence.
  5. Foster positive relationships with colleagues and management.
  6. Actively promote hotel services and promotions.
  7. Uphold Accor values and customer service standards.
  8. Maintain respectful and helpful interactions with colleagues and guests.
  9. Acquire and maintain relationships with various client segments.
  10. Engage in sales activities, including cold calling and hosting events.

Qualifications
  • Bachelor’s degree in Marketing, Business, Communications, or related field.
  • 1–2 years of experience in sales or marketing support.
  • Strong organizational and communication skills.
  • Proficiency in Microsoft Office.
  • Ability to analyze data and generate insights.
  • Team-oriented with a proactive approach.
