Job Summary:

We are seeking a proactive and detail-oriented Administrative Assistant to support our General Manager. This role encompasses a variety of administrative tasks, including filing, managing customer reports, invoicing, and handling reception duties. The ideal candidate will be organized, capable of multitasking, and possess strong communication skills to ensure smooth office operations and effective support for the General Manager.

Key Responsibilities:

  • Administrative Support:
    • Provide comprehensive support to the General Manager, including managing calendars, scheduling meetings, and preparing reports.
    • Handle filing and document management to ensure accurate and efficient record-keeping.
  • Customer and Office Management:
    • Prepare and manage customer reports, ensuring timely and accurate documentation.
    • Oversee invoicing processes, including generating invoices, tracking payments, and addressing billing inquiries.
    • Manage reception duties, including greeting visitors, answering phone calls, and directing inquiries to appropriate departments.
  • Communication and Coordination:
    • Assist in coordinating and organizing company events, meetings, and training sessions.
    • Maintain clear and effective communication with internal and external stakeholders.
  • Operational Support:
    • Handle office supplies and equipment management, including ordering, inventory control, and maintenance.
    • Support the General Manager with project management tasks and special projects as needed.
  • Compliance and Quality Assurance:
    • Ensure adherence to company policies, ISO standards, and compliance with municipal and government regulations.
    • Assist in maintaining up-to-date knowledge of industry standards and best practices.


Qualifications:

  • Proven experience in an administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Strong organizational skills and attention to detail, with the ability to handle multiple tasks simultaneously.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Previous experience in a manufacturing or industrial environment is advantageous.


Working Conditions:

  • Full-time position based in Pinetown, Durban.
  • Regular office hours, with occasional overtime required to meet deadlines or support special projects.
