Garlicke & Bousfield Cape is seeking a dynamic and experienced Legal Practice Assistant to provide comprehensive administrative, paralegal, and front office support in a fast-paced legal environment. This role is suited to a professional with prior law firm experience who thrives on multitasking, takes initiative, and maintains the highest standards of confidentiality and service delivery.

Requirements:

·National Senior Certificate (matric) is essential.

·A recognised tertiary qualification in Office Administration, Legal Studies, or Paralegal Practice will be advantageous.

·Minimum 3–5 years of proven experience in a similar role within a law firm or legal services environment.

·Strong knowledge of legal administrative procedures, legal terminology, and document formatting.

·Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

·Proficiency in legal software systems (CMS advantageous).

·Exceptional verbal and written communication skills.

·Professional demeanour and the ability to deal effectively with clients, staff, and stakeholders.

·Ability to work independently, multitask efficiently, and maintain strict confidentiality.

·High attention to detail and excellent organisational skills.

Key Responsibilities:

Reception and Front Office Duties:

·Welcome and attend to clients and visitors professionally and courteously.

·Manage and operate the switchboard, directing calls and taking messages where necessary.

·Maintain a well-presented and efficient front desk and reception area.

·Coordinate meeting room bookings and MS Teams meetings and ensure they are well prepared for appointments.

·Handle incoming and outgoing mail, deliveries, and courier services.

·Prepare and serve refreshments (tea, coffee, water) for clients and meetings as required.

Legal and Paralegal Support:

·Assist attorneys and legal secretaries with preparing legal documentation, correspondence, and filing.

·Draft basic legal documents and forms under supervision.

·Compile, paginate, and index court bundles and briefs.

·Maintain accurate filing systems and ensure confidential case file management.

·Conduct basic legal research as requested.

Administrative and Office Support:

·Liaise with the Durban office as needed for operational and administrative coordination.

·Coordinate and schedule internal and external meetings, consultations, and events.

·Monitor and maintain stationery and office supply inventory.

·Assist with petty cash and basic financial administration, including invoice tracking.

·Support database management and document archiving systems.

·Provide administrative assistance to legal professionals and management, including opening files, client FICA requirements, fee capturing, and invoicing.

·Manage and liaise with the landlord and service providers.

General

·The opportunity will be subject to a probation period of six months.

·Recruitment will be based on the EE/AA objectives of the firm.
