Job description

Contracts Co-Ordinator

Reference: RST-ab-1

Responsibilities:

  1. Administer all documentation and paperwork pertaining to contractual obligations.
  2. Handle administration tasks including answering calls, correspondence, invoicing, etc.
  3. Plan site operations and coordinate team activities.
  4. Order stock for teams and manage inventory.
  5. Submit month-end information for salaries, including absenteeism and other relevant data.
  6. Ensure team targets are met each month.
  7. Receive orders, update monthly job lists, and report to MD on contracts and tenders awarded.
  8. Track daily site visits and progress per site.
  9. Manage changes to project scope, schedule, and costs as necessary.
  10. Monitor and track detailed costs for each job.
  11. Liaise with clients and the contracts department regarding project progress.
  12. Ensure deliverables adhere to scope and contract value.
  13. Oversee project aspects, set deadlines, assign responsibilities, and monitor progress.
  14. Address client queries and troubleshoot issues.
  15. Coordinate and complete projects on time, within budget, and scope.
  16. Prepare invoices for ongoing and completed jobs.
  17. Prepare handover documents and maintain comprehensive project documentation.
  18. Establish and maintain relationships with clients.
  19. Make courtesy calls to clients regarding project progress.
  20. Follow up on reports submitted to the estimating department.
  21. Arrange travel bookings such as flights and accommodation.
  22. Perform any other administrative tasks as assigned.

Salary: R 15,000 per month
