- Perform complex office administration tasks and provide support to the executives for Human Capital (HC) and Remuneration and Benefits on deliverables, including personal administration.
- Manage complex calendars, arrange meetings, and appointments for assigned executives.
- Communicate with internal and external HC contacts at senior levels and manage HC relationships.
- Provide support to HC leadership team members, including ad hoc administrative duties, coordinating management meetings and BBS huddles, and following up on operational matters.
- Develop, implement, and maintain departmental office systems and standards for Human Capital to uphold a professional departmental image.
- Create HC Purchase Requisitions, process MIGO, and ensure timely payment of suppliers.
- Monitor budgets, track expenditure, and prepare reports on departmental office and administrative costs.
- Review, assess, route, and follow up on correspondence, engaging with senior stakeholders to meet deadlines.
- Coordinate and consolidate routine Human Capital reports and KPI dashboards.
- Support the preparation of communication, presentations, business plans, board papers, and proposals, including editing and formatting.
- Coordinate and schedule department events such as conferences, seminars, and meetings.
- Answer, screen, and route phone calls, queries, mail, and emails.
- Coordinate travel arrangements, accommodation, and logistics for executives and direct reports.
- Maintain data and electronic filing of all documentation for assigned executives.
Qualifications, Experience, and Competencies
- At least 6 years of experience as a Personal Assistant supporting executives.
- Minimum of 4 years practical experience in Human Resources.
- Diploma in Human Resource Management; an undergraduate degree in HR is advantageous.
- Proficiency in MS Office (Word, PowerPoint, Excel, Teams) and ERP systems.
- Excellent communication and presentation skills, both written and verbal.
- Strong business and financial acumen.
- Personable, cheerful personality.
- Flexibility and willingness to handle issues outside normal hours.
- Knowledge of procure-to-pay processes.
- Valid driver’s license.
- Ability to prioritize workload with high-level administrative skills.
- Attention to detail, with strong planning, organizing, and coordination skills.
- Customer service-oriented attitude.
