Job Description

We are seeking a meticulous and experienced Payroll Administrator to join our team.

The successful candidate will be responsible for processing various payrolls on VIP for all WSP Operating Companies.

This role requires a keen eye for detail and the ability to differentiate between permanent and contract or fixed-term staff.

KEY RESPONSIBILITIES
  1. VIP payroll administration and processing
  2. Manage workflow to ensure all payroll transactions are processed accurately and timeously, whilst ensuring that procedures are in place to provide strong internal controls and ensuring good governance in the payroll.
  3. Assist in processing payrolls in South Africa and other African countries (Mozambique, DRC, Ghana) to ensure timely and accurate payments and legislative submissions.
  4. Stay current on new legislation and regulatory rulings affecting payroll and reporting requirements.
  5. Enforce adherence to requirements and advise management on necessary actions.
  6. Run payroll interface with General Ledger, Leave provision, and 3rd party payments.
  7. Administer reimbursements to employees such as credit cards and petrol cards.
  8. Balance and reconcile payroll-related payments and deductions prior to transmission.
  9. Prepare reports for Finance and Human Resources departments.
  10. Conduct self-audits on the payroll master schedule.
  11. Prepare Bank Control Account reconciliations and salary/share bank account reconciliations.
  12. Resolve General Ledger queries from Finance.
  13. Update employee Employment Equity and Skills Development data on VIP.
  14. Reconcile and submit Employee benefits.
  15. Manage interface between Employee benefits and third parties, ensuring reconciliations match records.
  16. Maintain and accurately capture Leave records, and complete leave reconciliations.
  17. Advise HR on issues related to excessive sick and unpaid leave.
  18. Maintain data integrity of the payroll system.
  19. Prepare and distribute IRP5 certificates annually.
  20. Manage Medical Aid and Pension Fund administration.
  21. Model SHEQ standards, contribute to risk identification, and promote a safe working environment.
  22. Embrace company values and ensure compliance with health, safety, environmental, and quality policies.

Qualifications and Experience
  • Advanced experience with VIP and VIP reporting, including HRM modules
  • 3-5 years' full payroll management experience
  • 3-5 years' experience with Sage VIP People modules
  • Knowledge of payroll best practices and regulatory requirements
  • Understanding of employer-paid benefits taxation
