Job Description
We are seeking a highly skilled Personal Assistant to support the Human Capital (HC) and Remuneration and Benefits departments. The role involves complex office administration, executive support, and coordination of departmental activities.
Key Responsibilities
- Perform complex office administration tasks and support HC and Remuneration and Benefits executives, including personal administration.
- Manage complex calendars, arrange meetings and appointments for assigned executives.
- Communicate with internal and external HC contacts at senior levels and manage HC relationships.
- Support HC leadership team with ad hoc administrative duties, coordination of management meetings, BBS huddles, and operational follow-up.
- Develop and maintain departmental office systems and standards to uphold a professional departmental image.
- Create HC Purchase Requisitions, manage MIGO processes, and ensure timely supplier payments.
- Monitor departmental budgets, track expenditures, and prepare relevant reports.
- Review, respond to, and follow up on correspondence and engage with senior stakeholders to meet deadlines.
- Coordinate and consolidate routine HC reports and KPI dashboards.
- Provide support in composing, editing communications, presentations, business plans, and board papers.
- Coordinate and schedule events such as conferences, seminars, and meetings.
Additional Support
- Answer, screen, and route phone calls, mail, and emails efficiently.
- Coordinate travel arrangements, accommodations, and logistics for executives and their teams.
- Maintain data and electronic filing of all documentation for assigned executives.
Qualifications, Experience, and Competencies
- Minimum 6 years of experience as a Personal Assistant supporting executives.
- At least 4 years of practical experience in HR.
- Diploma in Human Resource Management; an undergraduate degree in HR is advantageous.
- Proficiency in MS Office Suite (Word, PowerPoint, Excel, Teams) and ERP systems.
- Excellent business communication and presentation skills, both written and verbal.
- Strong business and financial acumen.
- Personable, cheerful personality with a flexible attitude willing to handle issues outside normal hours.
- Knowledge of procure-to-pay processes.
- Ability to prioritize workload with high-level administrative skills.
- Attention to detail with strong planning, organizing, and coordination skills.
