Main Purpose
The Returns Co-ordinator is responsible for overseeing the return of goods from customers and retail stores back to the company. This role ensures the efficient processing, tracking and management of returned products, including damaged items, recalls and end of life products. The position plays a key role in minimizing loss, optimizing reuse and resale opportunities and supporting sustainability efforts.
As a Customer Returns Co-ordinator, you will play a key role in ensuring operations run smoothly and efficiently.
Key Responsibilities
- Manage and coordinate all reverse logistics activities including returns & IBTs (interbranch transfers).
- Liaise with customers, vendors, warehouses and carriers to schedule and monitor return shipments.
- Inspect, classify and process returned goods for all allocations to the correct locations (sellable, unsellable/damaged).
- Maintain accurate records of returned products in inventory management systems.
- Analyse return data to identify trends, root cause and improvement opportunities.
- Ensure compliance with environmental regulations and company sustainability initiatives.
- Coordinate with customer service, brand and warehouse teams to resolve discrepancies and improve return processes.
- Develop and document standard operating procedures (SOPs) for reverse logistics.
- Support financial reconciliation related to returns and credits.
- Monitors SLA's related to returns, processing time, and return rate and provide regular reports.
- Ensure unwanted returns are processed according to processes and also supporting quality and inventory control guidelines.
- Investigate complaints related to returns issues and delays, resolving them promptly.
- Collaborate with Inventory Manager on the reporting of damages due to returns and accurately ensuring that these items are designated to the correct location.

Requirements
- 2+ years of experience in logistics, supply chain or warehouse operations with exposure to reverse logistics preferred.
- Previous experience in a returns or reverse logistics department
- Proficient in data inputting
- Strong verbal and written communication skills for effective interaction
- Decision making skills, especially in high pressure situations
- Flexibility to adapt to changing circumstances and priorities
- Strong organisational and multitasking abilities to manage multiple priorities effectively
- Attention to detail in planning, execution and follow-through
- Proven track record of achieving and exceeding goals and objectives
