Job description

A market leader in the meat processing industry is seeking a strong Executive Personal Assistant to provide high-level administrative support to the CEO.

Position Info:
  1. Minimum requirements for the role:
  2. Must have a tertiary qualification in Business Administration, Management, or related field.
  3. Minimum 10 years' experience reporting into and serving the main Director in the business (e.g., MD or CEO).
  4. Knowledge of the food manufacturing industry in South Africa is preferred.
  5. Proven experience working as an executive assistant or professional assistant in a fast-paced environment.
  6. Strong organizational and communication skills, with a proactive approach to problem-solving.
  7. Must be detail-oriented with a high level of accuracy and able to maintain confidentiality.
  8. Proficiency in Microsoft Office Suite and other office productivity tools is essential.
  9. Must be proficient in English (read, write, and speak).
Responsibilities:
  1. Providing administrative support to the CEO, including managing calendars, scheduling meetings, and handling correspondence.
  2. Analyzing sales trends and reporting on figures.
  3. Preparing and organizing materials for meetings, presentations, and board meetings.
  4. Coordinating travel arrangements, including booking flights, hotels, and transportation.
  5. Conducting research and compiling data for reports, presentations, and projects.
  6. Assisting in tracking and managing budgets, expenses, and invoices.
  7. Managing fleet, usage, and petrol cards.
  8. Maintaining and updating contact lists, databases, and files.
  9. Overseeing special projects and events as assigned by the COO.
  10. Liaising with internal and external stakeholders, including senior management, clients, and service providers.
  11. Handling confidential and sensitive information with discretion and professionalism.
  12. Administering company cellphones.
  13. Managing the office team’s daily activities, including leave and discipline.
  14. Maintaining the office, building, and garden.
  15. Performing other duties as assigned by the CEO.
