Introduction

The key purpose of this role is to contribute towards the image of the NEF by welcoming clients and stakeholders visiting the NEF Office in a professional manner, directing and helping them, as well as ensuring the hosts are timeously informed about their visitors.

Additionally, the role involves answering the switchboard promptly and directing calls efficiently, offering clerical support such as distributing documents/parcels, and maintaining records in the reception area.

Responsibilities
  1. Attending to visitors
  • Attend to all visitors and clients in a positive and friendly manner
  • Meet client expectations by politely requesting patience while redirecting calls and attending to clients promptly
  • Treat all clients with courtesy and handle conflicts calmly
  • Inform staff members promptly when their clients and guests arrive
  • Answering and screening calls
    • Answer calls promptly and professionally
    • Transfer calls to appropriate staff or departments, or to voicemail if unavailable
    • Take accurate messages and pass them on promptly
  • Booking of meeting rooms
    • Manage bookings via the digital diary and walk-in requests
    • Ensure meeting rooms are organized and cleaned before use
    • Set up refreshment stations as per standards
    • Book and record meeting schedules daily and coordinate refreshments with kitchen staff
  • Administration and coordination
    • Update and circulate the telephone list regularly
    • Handle couriers and deliveries, distributing them accordingly
    • Maintain the reception area, keeping it clean, tidy, and stocked
    Qualifications
    • Grade 12 / Matric
    • Secretarial Certificate / Diploma
    • Business Administration or relevant tertiary qualification (advantageous)
    Experience / Skills
    • Minimum 3 years as a receptionist in financial services, development finance, or similar
    • At least 2 years as a switchboard operator in a customer service environment
