A leading company in the construction sector is seeking a Project Support & Documentation Management professional. The role involves assisting with project documentation, coordinating communications, and ensuring compliance with health and safety standards. Ideal candidates will have a relevant qualification and experience in project coordination within the residential construction field.
Reference : CMConsultant : ChristaMostertJob Description : Project Support & Documentation ManagementAssist in the preparation, review, and maintenance of project documentation including contracts, reports, and permits.You will be required to keep the construction module with related communication to clients up to date on a daily basis.You will be required to monitor Onsite tasks and provide feedback to contractors and the development team to ensure that processes are completed and provide red flags to the team when processes are lagging behind.Maintain and organize project files, ensuring all records are up-to-date and easily accessible whether electronically, cloud based or physical documents.Coordinate the collection and submission of project-related documents such as invoices, change orders, VO's, building plans, NHBRC certificates, occupation certificates (OC's), schedules, etc.Track and monitor the status of key project documents, ensuring compliance with deadlines and regulatory requirements like work permits, insurance, PI certificates etc.Coordination & CommunicationServe as a liaison between the construction team, contractors, suppliers, and internal stakeholders in the development team and the internal and external estate agents.Schedule and coordinate meetings, site visits, and conferences for the project team.Distribute meeting agendas and minutes to relevant parties, ensuring follow-up on action items.Facilitate communication between the project managers and other departments or external partners.Scheduling & Task ManagementAssist with the development and maintenance of project timelines, tracking milestones, tracking and commenting on the program and ensuring deadlines are met.Help coordinate resources, equipment, and materials to ensure project schedules are adhered to where applicableMonitor and track the progress of daily activities on-site and provide updates to the team.Assist in managing site logistics and ensuring that the necessary resources are available.Health & Safety ComplianceEnsure that all required health and safety documentation is in place and up to date where applicable to the developer.Coordinate with the Health & Safety Officer to track inspections, audits, and compliance reporting.Support the team in maintaining a safe and compliant construction siteGeneral Administrative SupportProvide administrative assistance to the wider project management team, including junior project managers and development managers.Handle correspondence, office supplies, and other administrative tasks as and if needed.Maintain a proactive approach to problem-solving and issue resolution.Qualifications : A relevant qualification in project administration, construction management, project management, or a related field OR the equivalent work experience.Minimum of 2-3 years of experience in an administrative or project coordination role within the construction or property development industry with a preference to experience gained in the residential construction field.Knowledge of construction processes, terminology, and documentation is highly desirable.Excellent organizational and multitasking skills.Strong written and verbal communication skills.Proficient in MS Office Suite (Excel, Word, Outlook) and project management software.Strong attention to detail and ability to maintain accurate records.Ability to work effectively in a team and under pressure in a fast-paced environment.How to Apply : Email your comprehensive CV
