Job Title: Administrator: Data

Location: Gauteng, Pretoria

Deadline: June 06, 2025

Responsibilities
  1. Adjustments to Tenant Accounts:
    • Generate instructions (multi, single, or CSV) to Data Capturers from RFIs received after account reconciliation to ensure request relevance.
    • Generate instructions to charge LMR to tenant accounts as per schedule from Utility specialist.
    • Generate instructions to transfer deposits to rental accounts as per Tenant Diaries from Supervisors.
    • Prepare instructions to charge repairs to tenant accounts based on Vacate inspections from Property Managers.
    • Ensure RFIs are signed off by the correct parties with supporting documentation attached.
    • Ensure Notices of Cancellation, Amendments, and Re-instatements are signed by relevant parties.
    • Update tenant notes on MDA accordingly.
    • Check Consent to Transfer forms for accuracy of banking details on MDA.
  2. Finalizing Tenant Accounts:
    • Calculate interest on deposits and credit to tenant accounts for vacating tenants.
    • Reconcile tenant accounts to ensure correct charges from lease start.
    • Send final reconciliation and Vacate inspections to FBI for tenants with debit balances.
    • Ensure no outstanding job cards.
    • If applicable, obtain Consent to Transfer form and transfer refunds to new accounts.
    • Complete and balance refund sheets with tenant accounts on MDA.
    • Send refund pack to Portfolio and Property Managers for signing as per SODA.
    • Ensure timely refunds from Managers to Creditors for processing to tenants.
  3. Clearing Ex-Tenant Credit Balances:
    • Notify Credit Control of misallocated receipts.
    • Reconcile accounts and correct balances.
    • Resolve account queries before month-end.
    • Clear accounts with vacate dates over three months old.
  4. General Administration:
    • Maintain updated instruction lists and Excel sheets.
    • Ensure accurate correspondence.
    • Provide timely feedback on Tenant Diaries and Ex-Tenant lists.
  5. Attend to Additional Duties:
    • Assist with training new employees.
    • Support team members during leave or sickness.
