PURPOSE OF THE ROLE

The purpose of a Stock Clerk is to ensure accurate stock records by conducting random checks, reconciling stock movements, identifying discrepancies, investigating queries, and maintaining the integrity of stock information.

KEY RESPONSIBILITIES
  1. Ensure that stock movements recorded in the system (purchase orders, transfers, invoices, credits, write-offs) are accurate and match corresponding documentation.
  2. Verify and reconcile stock movements with actual gate activity, ensuring consistency between received, dispatched, or returned goods and recorded transactions.
  3. Compare system-recorded stock movements with camera footage to validate accuracy and identify discrepancies.
  4. Investigate discrepancies or irregularities between system records, documentation, gate activity, and camera footage, conducting root cause analysis and resolving issues.
  5. Maintain detailed records of reconciliation processes, findings, resolutions, and adjustments.
  6. Collaborate with purchasing, warehouse, and finance teams to resolve stock movement discrepancies.
  7. Review and correct invoice discrepancies related to stock, ensuring accurate invoicing and financial reconciliation, and communicate corrections to stakeholders.
  8. Maintain a register of missing and unsigned invoices and ensure timely collection of PODs that meet requirements.
  9. Manage stock adjustments for damages, discrepancies, or stock age, ensuring proper documentation.
  10. Conduct stock recounts to validate and correct discrepancies, ensuring inventory accuracy.
  11. Rectify errors in stock reconciliations, aligning physical counts with system records.
  12. Communicate stock adjustments and discrepancies effectively to relevant stakeholders.
  13. Generate reports of outbound stock movements based on camera footage.
  14. Investigate and resolve queries by cross-referencing footage with stock records, providing evidence for findings.
  15. Perform random checks of full loads using camera footage to verify loading accuracy and adherence to instructions.
  16. Organize and manage camera footage for easy retrieval and auditing.
  17. Follow safety guidelines and use PPE when performing duties.
  18. Promote a safe work environment and ensure safety compliance.
  19. Operate within safety standards.
  20. Participate in meetings and support team goals.
  21. Attend training and coaching sessions.
  22. Contribute to the overall success of the team.
