Job Title: Virtual Administrative & Bookkeeping Assistant

Position Type: Full-Time (37 hours/week)
Location: Remote
Reports To: Operations Manager / Business Owner
Overview:

We are seeking a proactive, detail-oriented Virtual Administrative & Bookkeeping Assistant to support daily operations for a service-based business. This fully remote role is ideal for someone who is self-motivated, highly organized, and experienced in both administrative coordination and bookkeeping functions. You will play a key role in keeping business processes running smoothly, with a strong focus on scheduling, communications, and financial tracking.
Key Responsibilities:
Administrative Support

  • Manage general inboxes and respond to incoming emails
  • Schedule meetings, appointments, and maintain calendars
  • Support staff onboarding/offboarding, including documentation and scheduling
  • Maintain HR systems (e.g., Breathe HR)
  • Order studio merchandise and business supplies
  • Draft and format documents, reports, and internal communications
  • Enter data and maintain accurate business records
  • Oversee instructor availability and class scheduling using Momence
  • Perform backend scheduling, client data management, and administrative reporting
  • Assist with general tasks as assigned by the Owner or Operations Manager
Bookkeeping & Financial Tasks
  • Track and categorize expenses, ensuring receipts are uploaded and annotated (Equals)
  • Monitor and follow up on outstanding payments
  • Support payment processing and resolve transaction discrepancies
  • Assist with payroll preparation and reporting (end-of-month)
  • Create monthly financial summaries for internal review
  • Collaborate on bookkeeping tasks using Xero
Qualifications:
  • Proven experience in both administrative and bookkeeping roles
  • Proficiency with accounting software (Xero)
  • Strong knowledge of Google Workspace and Microsoft Office
  • Excellent written and verbal communication skills
  • Exceptional accuracy, organization, and attention to detail
  • Ability to multitask and work independently in a remote environment
  • Comfortable using cloud-based collaboration tools (e.g., Slack)
Preferred Experience:
  • Background in service-based or wellness businesses
  • Basic understanding of financial documents (P&L, balance sheet)
  • Familiarity with local bookkeeping or tax compliance standards
Schedule:
  • Monday-Friday, 37 hours per week
  • Must be able to work independently and maintain availability during standard business hours
