Purpose
As a key member of the marketing team, the main purpose is to provide professional administrative support to the Head of Marketing and the Marketing Department, ensuring a seamless experience for internal and external stakeholders in line with our strategic goals, brand values, and marketing principles.

Administration

Specific Tasks
- People: Skills sharing, transfer, and support
- Administration: Ensure all administration complies with internal governance and policies.
- Manage and organize administrative processes aligned with marketing requirements.
- Understand and coordinate the marketing department's calendar and stakeholders.
- Manage credit card, invoice, Purchase Order processing, agreements, SLAs, quotes, and vendor sourcing.
- Upload documents to relevant databases and platforms.
- Assist with events, coordinate with third-party suppliers, and manage promotional items and stock.
- Manage the BankservAfrica Guide to Payments book, including invoicing, reordering, and royalty payments.
- Handle golf booking requests and monitor membership usage against vouchers.
Continuous Improvement Initiatives
- Identify opportunities for improvement and innovation.
- Deliver client or company projects aligned with standards and with manager approval.
Specific Tasks
- Support management by handling correspondence, drafting documents, and analyzing information.
- Plan and schedule meetings and conferences.
- Perform personal assistant duties for the Head of Marketing.
- Manage and schedule marketing team meetings.
- Maintain a comprehensive filing and retrieval system, including SharePoint and physical files.
- Produce accurate minutes and track action items.
Qualifications / Knowledge
- Matric
- Relevant tertiary qualification
- Proficiency in MS Office Suite
Experience
- Minimum 5 years of senior secretarial / PA and administrative management experience
- Experience in marketing, communications, payments, or financial services is advantageous
