Duties & Responsibilities
Maintenance of buildings, fixtures & fittings
- Reporting directly to the Technical Manager and from time-to-time preside over the position in the Technical Manager’s absence.
- Manage/Supervise the Maintenance Team efficiently to achieve/exceed Client contractual SLA criteria.
- Ensure that all Reactive Maintenance is complete within the SLA period
- Ensure that Preventative Maintenance is undertaken according to the schedule
- Manage the Maintenance Team to achieve departmental goals and SLA attainment on a daily basis
- Assist with the allocation of work to the Maintenance Teams in order that all work is completed within SLA
- Manage Stock levels of Materials for Maintenance related work.
- Perform regular inspections on all areas in the buildings and ensure that all maintenance related to these inspections is done accordingly
- Manage the quality of the output given by the staff in these areas.
- Undertake QC inspections of work undertaken
- Assist Maintenance Teams where required to ensure completion of task
Reports & Administration
- Update the Preventative Maintenance Schedule on a regular basis with Work Completed
- Update your Maintenance Call list on a daily basis to ensure that completed work is closed on a daily basis and does not exceed SLA
- Prepare a monthly activity report to the Technical Manager based on department activities for the month.
- Update Tool and Ladder inspection sheets on a monthly basis
- Monthly SLA scorecards with all Contractors to be completed & reported on.
- Ensure that work orders are completed correctly.
Employee Management
- All HR & IR aspects of managing a team
- Make effective use of your resources on site to ensure maximum productivity.
- Ensure staff leave and work is scheduled by liaising with the planner to ensure no down time. Sub-Contractor Management
- Regular physical inspection of various service areas to ensure that the service delivery is to the required standard and SLAs a being achieved
- Ensure that only vetted and approved vendors are used.
- Liaison with the finance administrator on the vendor vetting requirements if any
- Liaison with the compliance manager to ensure that all suppliers provide a compliant safety file with all required documents.
- Assist with the vetting of the file – ready for approval prior to use of the supplier
- Liaison with the suppliers to ensure that documents are maintained and always up to date and relevant to the work being carried out. Ensuring availability prior to work being carried out.
- Arrange approval of the file prior to work being carried out.
- Ensure that the clients intranet system and SharePoint are loaded with the relevant latest safety file and supplier documents as and when they are updated.
- These on-line databases are to be updated at all times with the latest documents for scrutiny in an audit.
- Ensure that all EHS Audit requirements are complied with in terms of contractor management – regular review with the client EHS rep to ensure.
- Assist with ISO / EHS and Client EHS audits when required.
- Ensure Access and security arrangements are made for the receipt, escorting and closure of all work orders for during and afterhours work.
Customer Service & Satisfaction
- Ensuring performance requirements are met (SLA’s and performance management)
- Work with teams to develop and maintain a customer-focused attitude toward activities
Help Desk & Reporting
- Liaison with the Help Desk to ensure calls logged for services are managed accordingly to the SLA
- Calls to be updated according to progress to avoid exceeding the SLA time
- Any escalations to be made to the soft services manager prior to exceeding the SLA time.

- Adhere to the TFS Safety, Health, Environmental and Quality (SHEQ) Management System’s Policies & Procedures of as applicable to this position.
Ad Hoc
- Any reasonable action requested by management.
- Be on standby and available to work afterhours / overtime if required.
Skills and Competencies
- 3-5 years’ experience in a facilities / Building Maintenance environment.
- 2 Years of Supervisory experience.
- Knowledge of Plumbing, Carpentry, Welding, Painting, Electrical, and General Maintenance techniques and
- MS Office
- Project and resource management skills
- Understanding of maintenance programs for electrical installations
- Understanding of electrical installations in large buildings
- Excellent customer relations and people skills
- Problem solving and analytical skills
- Ability to plan, organise and control own work effort
- Good communication skills
- Attention to detail
Qualifications
- Minimum Grade 12.
- Post Matric qualification (NQF Level 5 or Higher)
- Qualified Artisan (Electrical, Mechanical Millwright – Trade Test)
- Studying towards Valid Certified Maintenance Manager (CMM) or equivalent
- Driver’s License
