Hire Resolve's client, a reputable law firm based in Johannesburg, is urgently seeking a skilled and experienced Litigation Secretary to join their team. As a Litigation Secretary, you will provide comprehensive secretarial and administrative support to attorneys working in the litigation department. The ideal candidate will have a strong background in litigation support, excellent organizational skills, and the ability to work under tight deadlines. Responsibilities
- Typing, formatting and collating notices and pleadings
- Incorporating amendments to documents and verifying that amendments have been effected correctly
- Preparing resource, counsel and client files
- Strong administration and organisational skills to manage professionals' practices (diary management, answering telephone calls, and tracking messages in the absence of the professionals)
- General office and personal administration
- Preparing pre-bills and billing memos (sending same to clients)
- Managing debtors with the accounts department
- FICA administration: following up to ensure the FICA requirements are complete
- Liaising with clients, counsel, presiding officers, experts, and other service providers when instructed by lawyers
- Assisting in the preparation of tender submissions and presentations
- Arranging flights and accommodations
- Handling deceased estate matters
Requirements
- Minimum of 3 years of experience as a Litigation Secretary in a law firm
- At least 5 years of experience as a litigation secretary
- Excellent knowledge of MS Word programs (specifically MS Word 2010 and Excel)
- Knowledge of Aderant Expert (CMS) accounting system
- Experience working on deceased estate matters
- Knowledge of FileSite
- Sound working knowledge of CourtOnline and CaseLines
- Experience in High Court litigation (motion proceedings)
- Secretarial diploma, legal secretarial diploma, or paralegal qualification (advantageous)
- Matric is essential
- Ability to multi-task and prioritize work, reporting to many lawyers
- Well-organized and conscientious
