Hire Resolve's client, a reputable law firm based in Johannesburg, is urgently seeking a skilled and experienced Litigation Secretary to join their team. As a Litigation Secretary, you will provide comprehensive secretarial and administrative support to attorneys working in the litigation department. The ideal candidate will have a strong background in litigation support, excellent organizational skills, and the ability to work under tight deadlines. Responsibilities
  1. Typing, formatting and collating notices and pleadings
  2. Incorporating amendments to documents and verifying that amendments have been effected correctly
  3. Preparing resource, counsel and client files
  4. Strong administration and organisational skills to manage professionals' practices (diary management, answering telephone calls, and tracking messages in the absence of the professionals)
  5. General office and personal administration
  6. Preparing pre-bills and billing memos (sending same to clients)
  7. Managing debtors with the accounts department
  8. FICA administration: following up to ensure the FICA requirements are complete
  9. Liaising with clients, counsel, presiding officers, experts, and other service providers when instructed by lawyers
  10. Assisting in the preparation of tender submissions and presentations
  11. Arranging flights and accommodations
  12. Handling deceased estate matters
Requirements
  1. Minimum of 3 years of experience as a Litigation Secretary in a law firm
  2. At least 5 years of experience as a litigation secretary
  3. Excellent knowledge of MS Word programs (specifically MS Word 2010 and Excel)
  4. Knowledge of Aderant Expert (CMS) accounting system
  5. Experience working on deceased estate matters
  6. Knowledge of FileSite
  7. Sound working knowledge of CourtOnline and CaseLines
  8. Experience in High Court litigation (motion proceedings)
  9. Secretarial diploma, legal secretarial diploma, or paralegal qualification (advantageous)
  10. Matric is essential
  11. Ability to multi-task and prioritize work, reporting to many lawyers
  12. Well-organized and conscientious
  13. Strong verbal and written communication skills
  14. Attention to detail
  15. Good interpersonal skills
