Coordinator: Site HR Operations
Job Purpose
Responsible for delivering HR services, products, and systems.
Key Responsibilities
- Collect work time data: attendance, absence, holidays, overtime, night hours, bonuses.
- Onboard new employees regarding HR processes.
- Serve as the first point of contact for employee inquiries.
- Document hiring processes and prepare data for contracts.
- Transmit documents to managers for new hires and changes.
- Answer incoming inquiries professionally and efficiently.
- Verify employee entitlements to requested information.
- Gather and maintain customer-related data.
- Ensure data accuracy and deliver accurate responses.
- Provide friendly, efficient, and effective service to customers.
- Escalate or redirect inquiries as needed.
- Document inquiries accurately.
- Support guidance on 'Employee' and 'Manager of People' self-service transactions.
- Create tickets and enter data into systems like Case Management.
- Communicate clearly, concisely, and timely.
- Execute HR internal controls.
- Advise employees and managers on HR processes.
- Provide first-line HR policy support to local employees.
- Coordinate with external providers (payroll, health & safety, medical care).
- Work closely with Business HR / Resourcing teams on new hires.
- Support HR activities related to employee contract changes and terminations.
- Coordinate with Centers of Excellence for HR solutions (training, benefits, reporting).
- Support daily administrative tasks to meet standards and deadlines.
- Handle transactional tasks like data entry, chasing data, and report running.
- Understand and apply HR concepts, processes, and tools including metrics and standards.
- Utilize HR systems (e.g., PeopleSoft) and vendor systems (e.g., Kenexa).
Qualifications & Experience
Education: Matric; Graduate degree (desirable); HR certification (desirable).
Experience: 1-2 years in administration or entry-level HR roles.
Proficient in MS Word, MS Excel, etc.
Knowledge of labor law (desirable).
